What’s New in 1.7.800.34

·      Agent Notifications— A new feature is available for displaying notifications from external third party applications that communicate to SuccessWare21® via SWHttpServer (SWAPI).  Click here for more information.

What’s New in 1.7.800.20

·      Income Statement, EBITDA—Additional calculations have been added to the Income Statement for reporting "Earnings Before Interest, Taxes, Depreciation, and Amortization" (EBITDA).  This extension to the report appears at the bottom of the Income Statement after the Net Profit After Tax total.

-    To set up EBITDA reporting, on the Income Statement report interface, select the EBITDA Setup button.  For each of the four EBITDA reporting sections - Interest, Taxes, Depreciation, and Amortization - use the checkbox to select whether you want to include the section and identify the general ledger accounts you want to include by clicking on the dropdown button. In the popup check list form select the accounts to include in that section of the report.  Click OK to save your settings.  The settings you select are saved for the next time you run the report.

What’s New in 1.7.800.15

·      Print 1099-MISC—SuccessWare21 will print on IRS approved pre-printed 1099-MISC forms.  You will be able to print end of year vendor 1099-MISC forms for IRS submission from SuccessWare21.  As vendor payments are entered throughout the year, each payment is categorized into the box in which it should be reported on 1099-MISC.  You can also identify those payments that should not be reported as 1099-MISC income.  In January after all payables data entry has been completed for the prior year, you will review 1099 vendor payments, verify the 1099 categorization, and print your 1099's.  Click here for more information.

What’s New in 1.7.800.12

·      Batch Visit Cancel, Agreement Manager—The Agreement Manager has a new option for canceling visits in a batch.  This may be useful for canceling old visits and realizing the revenue when many visits have been missed, these visits will not be made up, and the visits were not canceled when they were missed.

-    Use the Visits Due view of the Agreement Manager to list visits through some Month/Year.

-    Select the "UN"scheduled view filter.  Do not select "SCH"eduled, "INV"oiced, or "CAN"celed.  Scheduled, invoiced, and already canceled visits cannot be canceled.

-    If you have any scheduled visits that you did not perform and would like to batch cancel those visits, select the "SCH"eduled filter.  Review each scheduled visit individually and determine whether you want to cancel it.  If you do not intend to perform the visit, remove it from the job (unschedule it) and determine what to do with the job: assign a different visit to the job, cancel the job, etc.  Once you have unscheduled the visits, you may batch cancel them, using the "UN"scheduled filter.

-    Be very careful to make sure that the visits being displayed are the visits that you want to cancel.

-    It is suggested that you print a report of the visits that you intend to cancel.  To print, right-click in the grid, and select "Print grid…".

-    Right-click in the grid, select Cancel All Visits in View, and follow the instructions.

Note: This option requires the Batch Terminate user ability on the Customer Service page of User Group Setup.  The Batch Terminate ability is configured for one time use only.  An administrator will need to turn on the ability each time it becomes necessary to batch cancel visits.  The ability will be on for the first login session after it is turned on for a user group and is automatically turned off for subsequent login sessions.

What’s New in 1.7.800.11

·      Location Documents— A new feature has been added that allows you to open a “Location Documents” folder from within SuccessWare21.  From many forms associated with a service location, you can gain access to a folder where you can store location specific documents and images.  Click here for more information.

·      Call Taking, Abort Codes— A new feature has been added that allows entry of an Abort Code to indicate why the call was aborted when you are aborting a phone call.  Click here for more information.

·      Timecard, fixed time intervals— Employee timecards can be configured to manage time punching in fixed increments of 1, 3, 5, 6, 10, or 15 minutes.  Click here for more information.

·      Reports— New report features.

-    Text search - Reports now have a text search feature.  When previewing reports on the screen, click the "binoculars" button to perform a search for specific text in the document.

-    Print to PDF - Reports can now be saved in PDF format.  From the report print dialog, you can now select Print to File, then PDF to save a report to file in PDF format.

-    Emailing reports - Reports can now be emailed from the report preview screen.  In the report preview screen, click the "email" button to send the report in PDF format via email.  Click here for more information.

·      MICR Blank Stock Check Printing— A new feature has been added that allows you to print your check on blank stock.  Information is need from your bank to use this feature. Click here for more information.

·      Email paging— To configure new email options, go to the Comm Center and select Configure.

-    In order to aid in circumventing spam blockers, a feature has been added that will allow the user to define what should be put into the email subject line by default.  Enter a Default Subject and select a Subject Option.

-    Options have been added to allow for formatting of the email body.  Select whether you want to include Field Labels and/or Line Breaks in the email message.

Opportunity Manager

A performance issue due to a large backlog of follow up opportunities was causing a long delay in opening the Opportunity Manager. The manager has been modified to no longer automatically open its query when the form is first displayed in order to first allow the user an opportunity to change the manager view and/or view parameters.  We are still researching possible corrections for the underlying performance problem.

If the customer portal agent was enabled, Call Progress when accessed from the Job Summary form, after making modifications to Job Summary, would not show the assigned employees.  Call Progress was still functioning normally if no changes had been made in Job Summary, or when it had been accessed from anywhere else in the system - Call Center, Job Form, etc.

Added an option for "Cancel old backlogged jobs".  This utility is similar to the existing utility for closing old backlogged jobs, but under some circumstances, particularly when there are a large number of jobs that never had any activity, the cancel option might be preferable since it will also void the job's related invoice, instead of leaving the invoice open and still remaining to be cleaned up.

If an employee had piece rate wages on the same date for the same pay item which were calculated using hours x rate calculation and different rates were used on the different wage entries, some of the wage entries may have been ignored when calculating the employee's wage summary for the period.

Notifications may now contain options that are present for selection upon acknowledging the notification.  Available options are submitted by the third party along with the notification.

The acknowledgement option selected will be sent back to the third party application via SWAPI messaging.

On occasion, an error message reading 'Either Debit or Credit Must Have Value' would occur when trying to post a Vendor Invoice that was changed from the original Purchase Order.  This would only occur on invoices that had changes to the cost of at least one inventory item where the quantity had been reduced to zero and therefore required an inventory overflow adjustment, and the invoice also had items for other departments where an inventory overflow adjustment was not necessary.

JobRequisitionedItemsQuery: new command for third party applications that can be used during invoice processing to determine what items have already been requisitioned for a job and how many of those items have been included on other invoices for the job.  Third party applications can use this information to help determine which items to requisition for the current invoice.

JobProgressList2Query: new command to replace the current JobProgressListQuery.  The current command was returning in a format that was not consistent with the formatting of other swapi command results.

Jobs with attached agreement visits

When you create a job/call for a visit, the 'AgreementVisit' job class has always been assigned by default.  If you create a job with some other job class, then assign the visit, you will now be prompted whether you want to change the job class to 'AgreementVisit' so that you can keep them all classified together if necessary.  If you forget or inadvertantly choose not to make the job class change, you can use the Visits button and select OK at any time to get the prompt again.

If you remove all of the visits from a job, the job class becomes available for editing again.

There is now validation that prevents assigning a visit to a sales job.

Sales Summary

Changes in editing of Sold?, Date Sold, Actual $, and Credit Reject.

-If sold was unchecked Date Sold and Actual $ would remain, but the fields would disable making it impossible to clear them without re-checking Sold, clearing the fields, then unchecking Sold again.  Now the fields will remain enabled until after they are cleared.

-Since Credit Reject is counted based upon Date Sold, it is now required that Sold be checked in order to be able to check Credit Reject.  Credit Reject enables and disables along with Date Sold and Actual $.

Job, Job Summary, Invoice

Clearing the Salesperson on the job form was not updating the job's invoice (or quote), nor salesperson on the sales summary for sales jobs.  Then when you put a salesperson back on, it also would not carry forward to the invoice (or quote) or sales summary.  Clearing now works like a modification would.  It will update the invoice (quote) and sales summary as long as the original values were the same.

The JobAdd command now allows adding of lead sources to SuccessWare21 by third party applications.  In order to add a lead source when submitting a new job, submit lead source in the format "[+code|description]".  If square brackets are used, the '+' must also be supplied for a new code to be added.  Existing codes will not be changed.

Agreement Manager

Removed the ability to batch cancel scheduled visits.  Batch canceling these visits would leave open jobs in the system.  It is better to evaluate each job individually and determine whether to remove the visit or not, and whether to cancel the job or not.  Then, once scheduled visits are removed disassociated from the jobs, they can be canceled either individually, or in a batch.

Location Storage

Make sure only payments and refunds are being tagged with 1099 category.

Copy 1099 category info when negating a payment or refund.

1099-MISC user ability was not functioning.

In Vendor Details, fixed display of 1099 category year designator,

and fixed text coloring when an invalid category is detected.

Invoices from recurring invoices were not being assigned a 1099 category. They will now be assigned the vendor default.

Payments on a vendor invoice were always being assigned the vendor default even if something different had been selected.

Changing the vendor on a vendor invoice was not reassigning the 1099 category.

Invoices created from PO's were not being assigned a 1099 category.

Added a check for vendors with missing 1099 categories.  The check is performed when Pay Bills is selected.

SWAPI, ARInvoiceUpdate

Tax Included is automatically turned off on the invoice line item when the tax code for the invoice implements a sales tax cap.  When this situation occurred, AddTax was also being turned off and not allowing third party applications to set AddTax=True.  This has been changed to allow third party control over AddTax in this situation.
