Email Report as PDF

Successware21 can take any Report and convert it to a PDF file, and then send that file as an email attachment. This can be used, for example, to email invoices to a customer.

Email Settings

In the Company Setup form, under the Address Tab, there is a button for Email Settings.  Edit the Company Settings, and click on this button to bring up the Email Settings form. On this form, you can enter the Email Server Address, Port Number, Return Address, and Authentication information.

Note: This is the same email configuration that SuccessWare21 uses for all of its email communication, including Email Paging, eOrders, and of course, Emailing Report PDF files.  Therefore, if you have already configured your email server settings elsewhere, no changes should be necessary.

User Abilities

Email Form Reports – This ability allows a user to email the following Form Reports

·         Sales Call Sheets

·         Work Orders

·         Purchase Orders

·         Purchase Receipts

·         Invoices

·         Statements

·         Inventory Transaction reports

Email Other Reports – This ability allows a user to email any other report not included in the list of Form Reports.

Emailing a Report

Once a user has the ability access a report, they can Print Preview the report before sending it to a printer.  If the user also has the ability to email the report, an Email button will appear in the upper left corner of the Print Preview window. Click on this button to bring up the Send PDF Report via Email dialog.  You can edit the To Address, Subject Line, and Body Text on this form.  SuccessWare21 will attempt to fill in the To Address with an appropriate default address, if this information is available.  For example, when sending an Invoice to a customer, SuccessWare21 will use the email address you have on file for the customer billing account as the To Address. You may change this address before sending the email.

Click Send when the email is ready.  The report will be attached to the email as a PDF file.
