·         Project Invoices / AIA Application Number

o    The application number being printed now shows in the AIA report print dialog.

o    An option has been added to the Project Billing Grid that will allow starting with an application number other than zero which can be used in the case of open balance projects.

o    A “Fix” option has been added to the Project Billing Grid that will allow the AIA application number sequence to be rebuilt in case they had been generated out of sequence.

·         Paying Bills and Payable Locking – There has been a change to the activities that are allowed to be performed while you are using the “Pay Bills” function in Accounts Payable. When you enter the “Pay Bills” function in Accounts Payable, certain related activities are restricted from being performed at the same time. This is done by placing locks that prevent those activities from occurring. This is done to prevent changes from being made to items that may already be part of the list of bills being paid. This ensures the user that they can be confident the payment selections they are making are based on the current payable information in SuccessWare®21.  Some of the activities that are restricted when “Pay Bills” is opened include:

o    Changes to AP invoices,

o    Adjustments to vendor accounts

o    Changes to existing vender payable allocations

o    Aging AP Accounts

o    Recalculating Accounts Payable Balances

o    Allowing other user to pay bills at the same time.

Previously, there were additional activities being restricted which really would not have a negative effect on the “Pay Bills” process. Locking has been relaxed so that these activities are no longer restricted. These activities are:

o    New Accounts Payable Invoices may be entered while another user is Paying Bills

o    The Account Register Account from which you Pay Bills will now not be locked until the “create checks” step is taken. This means that the Account Register Account can be accessed, reconciled and reviewed as long as the Create Check process in Pay Bills has not begun. Alternately, if the Account Register account is being modified, a user who tries to “create checks” in Pay Bills will be prevented from doing so until the Account Register edit is completed and the Account Register closed.

Generating an eOrder would take a really long time, up to several minutes, on very large databases.

Sort has been modified to show distribution items in the same order as the splits on the screen (when including distributions in the eOrder).

LineID has been removed, use LineNo instead.

Payroll Manager

When modifying payroll period end date, the next period created might get generated as a one day period depending upon the day of the week that the period ends on.  Attempting to modify the end date to something else was resulting in a "Date is less than minimum" error.

If a period end date was modified in a non-current payroll period so that the next period would get generated as a one day period that selection was not showing up in the period selection window, making it impossible to get that period selected.

After modifying a period end date, it was likely that a "Failed to set calendar date or time" error might occur later on when using the popup calendar date selection form.

When modifying a payroll period end date, allow a short payroll period to be extended out through to the next period end date

Location Details, Billing Account Details

Using a '~' character in a location or billing account name was causing the program to get confused when attempting to determine the ID for the linked account or location.  The parser now looks for the '(~' character combination in the linked entry, instead of just the ‘~’, in order to be more selective.

Invoice Tracking

Tracked invoice numbers used on sales estimates were matching up to deployed invoices in invoice tracking, but not reconciling and closing.  They will now reconcile/close, as well as unreconcile when necessary.

Allow sales estimates to show in the Not Tracked grid view.

Invoice Pay Base Split

When splitting pay base among multiple employees, depending upon the pay base amount and how the amount was allocated among the employees, on occasion, a rounding problem could have cause a failure to save with the message "You must allocate the entire pay base", even though the pay base was allocated at 100%.

Lengthy work done or work suggested notes would overlap note / note 2 on paid invoices when printing note / note 2 on paid invoices.

When printing paid invoices there was some unnecessary space after the item detail and before the invoice totals.

Since 1.8.700.21, on fully paid invoices only, invoice note and note 2 were printing in the middle of the page and overwriting invoice line items or the invoice total lines.

Made printing of invoice note and note 2 optional for paid invoices.  Select this option in company setup if you require these notes to be printed on paid invoices (useful when including state regulatory information in the notes).

The Unposted (UNP) filter in the Invoices view of the Agreement Manager would continue to include invoices that had XCharge enabled payment reference information, had been posted without payment, and paid later on through receivable cash receipt.

Agreement

When editing an agreement, the software was issuing an unnecessary error when switching the agreement type from a fixed, prepaid agreement to a perpetual agreement type.

When using the 'Days for agreement billing' feature in Company setup, when entering a new periodically billed agreement, a January 1900 date may have showed up in the Bill Start Date field temporarily until the agreement start date was entered.

Previously, only name and address were evaluated when comparing a carbon copy location to its billing account for differences.  This would allow other carbon copy information - phone numbers, email address, contact - to be modified on the billing account, then without warning when the location was modified, the billing account changes would be replaced by the carbon copy location information.  The system now provides proper warnings when any carbon copy information has been modified on the billing account.

Vendor Invoice

Sometimes attempting to post a vendor invoice would fail with 'Debits and credits don't match' error.  This would occur when a receipt was created from a purchase order, the purchase order has an item split between different warehouses or departments, tax was being added to the item, and the received quantity on the line item was either being changed to zero, or starting to be changed to some other quantity but then reverted to the original amount from the distribution form.  The receipt would post without error, and the error would occur when attempting to post the vendor invoice.  A calculation that was sometime skipping calculation of the tax was corrected.

Pay Base Import to Miscellaneous Wage

The import process was always requiring the ability to override employee payroll locks regardless of whether employees were locked or not.

The import process was not allowing an import for a locked employee under any circumstances.  This is now allowed by an employee with the proper abilities - i.e. the ability to Process Payroll, or Override Payroll Employee/Period Locks. The user will be prompted whether to continue if any employees are locked.

On occasion, on a receipt/invoice created from a PO, a line item might have showed a job number, but the job links behind the scenes were not intact causing problems such as in attempting to calculate project invoice retainage.  The problem would occur if the PO had a job number in the header, but a line item on the PO did not.

(LAN using Workgroups only) When SuccessWare21 is participating in a network workgroup it will now be possible for all the workstations in the workgroup to use X-Charge.  After installing this update, X-Charge will need to be re-activated using the XCharge Setup Wizard to recognize new settings.

Group and final totals were sometimes being misreported.

Added a column for the percent of the item pay base for each employee.

Added a column for the amount of the item sale attributable to each employee based upon the percentage of pay base allocated.

Identify the primary technician using an asterisk (*) in front of the employee code.

Job Scorecard Report

Emailed appointments

When using Microsoft Outlook to receive appointments from the Comm Center you may not be able to add appointments to the calendar if the organizer of the appointment is the same as the recipient.  The Comm Center now detects this condition and includes a notification in the email and appointment for the organizer receiving the appointment, including information on this condition and how to work around it.
