You can send employee assignments from SuccessWare®21 Comm Center and Call Center to employees in the form of calendar appointments that can be imported to a calendar on their smart phone, tablet, or desktop calendar application. These appointments are sent as a standard iCalendar format e-mail attachment and may not be compatible with all email/calendar clients.
To be able to send email appointments, you must complete the SuccessWare®21 Email Setup and properly configure employees with an email address.
Email Setup will enable SuccessWare®21 to send email. You can access Email Setup from either
· From Setup, Company Setup, on the Address/Phone tab, select Edit, then select the Email Setup button at the bottom left of Company Setup.
· From the Comm Center, select Configure, and then Email Setup on the bottom left of the Comm Center Configuration Form.
Appointments will be sent to employees via email. In order to receive these appointments, an employee must have a valid email address entered in their employee record in SuccessWare®21. This is done on the “Address/Phone” tab of Employee Setup. A valid email address must be entered in the ‘E-mail’ address field. Note that appointments are sent using the “E-mail” field and not the “Pager E-mail” field.
Appointments are sent as attachments to individual emails, one email per appointment. This helps maintain compatibility with the multiple email clients (iPhones, Androids, Outlook, Google Calendar).
From the Call Center, you can right click on any employee, or right click on an Assignment, and select “Send Appointments”. This will give you the choice to send appointments “… for Assignment” or “… for a Day”. Choosing either of these will open the Comm Center with the Assignment selected or the appropriate employee and date respectively. To send the schedule, just click ‘Send’.
The Comm Center is used to send messages to employees. In general, these messages are sent to the employee’s Pager Email address and will consist of either the message you enter on this form, or the job fields configured for paging when paging an assignment/job. When ‘Attach Appointment’ is selected, the employee’s email address will be used.
The Comm Center is accessed directly from the main menu or tool bar. To send assignments to employees as appointments, use the “Attach Appointment” checkbox when the Comm Center is open. Similar to when sending a page/message, you may select employees and/or groups that should receive their schedules.
The method for receiving and importing the appointment to a
calendar will depend on that email/calendar application. This will generally consist of opening the
email, selecting the attachment and selecting ‘add to calendar’.
