In SuccessWare®21 you may choose to send e-mail to groups of employees instead of individual employees when using the Comm Center. This can be a timesaver when many recipients need to receive the same e-mail allowing you to make a single selection based on an identifiable group.
The “Comm Center Groups” setup is available from the Comm Center Configuration “Groups” button. Here e-mail groups can be created and employee affiliations to groups can be established. The screen will show groups sorted by name on the left-side and employee affiliations of the selected group on the right-side. By default only active groups are shown. If a group has available notes you may see them below the list of employees.
Use the add group button to add groups. Double-click group to edit existing group properties such as name, description, and it’s active status. Use the popup menu to delete groups. If you do not wish to delete a group but hide it from view you can uncheck the active flag. When adding or editing a group you may use the Undo button to discard any changes.
When a group is selected you may add or remove a member of the group by checking or un-checking the box for the employee. Save your changes use the save button. You may use the undo button to discard any changes before saving them. Members of a group that are missing their e-mail addresses will appear in red. Any employee that is missing an address will not be able to receive a message.
When using the Comm Center individual Employees or Groups will be checkbox selectable from the lower left corner of the dialog. When sending e-mail each selected employee and/or member of any selected group will become a recipient of the message. If a recipient was selected individually, and is also a member of a selected group, they will only be listed once as a recipient on the e-mail.
