·      Department on Job Related Purchases—In both the Purchase Order and the Vendor Invoice forms, the job number will now be used to identify the department for the associated expense.  At the time the job number is entered on a line item, its department will replace any other defaulted department that may have been previously set on the line item, either based upon the department carried down from the previous line item entry, or from the expense type associated with the entered item number.  The department can still be manually overridden after it is defaulted.

-    User Account Lockout – SuccessWare®21 can now be configured to automatically lock user accounts after a specified number of failed login attempts.  For more information about this feature click here.

·      Customer Invoice / Payment Post Date feature—It may sometimes be necessary to close or lock the fiscal period before all job invoices have been returned to the office and posted into SuccessWare21®.  In order to use the correct invoice date for properly tracking accounts receivable, the customer invoice now facilitates posting with a G/L post date different than the invoice date.  This allows the invoice to be posted with the correct invoice date without having to re-open the fiscal period.

-    When a customer invoice is posted and the invoice date is in a closed or locked period, the system will calculate the start date of the first open period after the invoice date and prompt the user whether to continue and post with the alternate date, or cancel the post.  All transactions related to the invoice and payment will post to general ledger on the calculated post date.

-    The alternate post date feature is also available when posting cash receipts.

-    The alternate post dates are visible in the Receivables Manager | Posted view and in the following reports: A/R Aging, Open Receivables, A/R Transactions, Sales Invoices, Sales Invoice Items, Warranty Reserve Analysis, Agreement Deferral Analysis, Agreement Reserve Analysis, and Check Register.  The manager and reports also have an option to base the date range filter on the post date.

-    The ability to post with an alternate post date can be turned on or off by user group in User Group Setup.

·      Additional Name and Phone Numbers—New fields have been added for Locations and Billing Accounts, including a 3rd and 4th phone number and an alternate first and last name.  These new fields are available for editing in Location Details, Billing Account Details, and in Call Taking.

-    When phone number is entered in Call Taking or Customer Search, Phone3 and Phone4 will be searched along with Phone1 and Phone2.

-    When Last Name is entered in Call Taking or Customer Search, Alt Last Name will be searched along with Last Name.

-    If you have entered an alternate last name for a customer, select the Include Alt Name in Address checkbox if you want to include the alternate name along with the primary name in materials addressed to the customer - invoices, statements, etc.

-    The additional name and phone number fields are visible in the Customer Form and in the Call Center.

-    SWAPI: The new phone and name fields have been added to SWAPI responses that include location and billing account information - LocationQuery, etc.  The customer search in SWAPI, CustomerQuery, will search against the new fields, and will also return the new fields in CustomerQueryResponse.

·      New look and feel—Updated look of standard controls throughout the application.

(ASP only) In order to reduce the likelihood of email being considered as potential spam, for email being sent via the ASP mail servers, the “Sender” is now being assigned an email address that originates in the ASP domain.  The user entered return address in email setup is still being used as the “From” and “Reply To” addresses in order to accommodate replies to the proper individual.

Printed Quotes

When there were many lines of notes in the introduction text for the quote, 35-45 lines depending upon the number of line items included in the quote, the first page of the quote would be left blank and the introduction would begin on the 2nd page.  The introduction will now begin on the first page if there is any room at all.

Agreement

When editing visit schedule, there are protections against "over delaying" visits on perpetual agreements in order to make sure visit commitments are met either by completing or canceling an appropriate number of visits on a roughly annual basis.  These controls were not working correctly when multiple visit entries were set up to be performed at the same time in the same month.

Equipment

An invoice may be modified to make corrections after an XCharge payment is processed. Some changes to the invoice may alter the invoice total (e.g. correcting an invalid tax code, etc.).  When posting, if the amount charged to XCharge does not match the invoice amount, an additional confirmation dialog will display in order to aid in identifying a possible issue with the amount charged.

LocationInfoUpdate now allows DNIS (phone number dialed) to be submitted. If submitted, the DNIS will be used to look up the
associated lead source, if any. If a new location is being added and a lead source is found, the leqad source will be associated with the newly created location.
When a new location was being created during a JobAdd operation the location lead source was not being set.
JobAdd now allows DNIS (phone number dialed) to be submitted.   If submitted, the DNIS will be used to look up the associated lead source, if any. If a lead source is found it will be used as the lead source for the job. Also, if a new location is being added, the lead source will also be associated with the newly created location.
LeadSourceQuery now includes the DNIS field.
