Job/Sales Summary—added access to Call Progress
from Job Summary. The process for
completing a sales job should be “Ctrl+Z” to
access/complete the Job Summary, then access Call
Progress to complete the job (right from Job Summary). Then create the new job right from Job
Summary.
NOTE: You cannot create a job from the
Job Summary if the Job Summary has been opened from the Call Progress.
· Quote-To-Job: Several new features aimed at reducing data entry and simplifying the process of taking a quoted job from the quote all the way through to completion.
- Create a new job from a ‘sales job’. The job created is the ‘quoted job’. The Job Summary form for the ‘sales job’ has been modified to allow entry of the job class, type, and department for the job being quoted. A new button/action has been added which when selected, creates the new job.
- Copy the line items and cost detail from your quote directly onto your new invoice. Once you have created your new job, you no longer need to re-enter everything you’ve already entered onto the quote. Simply right-click on your invoice and select ‘Copy Quote’. If your job has been created from the Job/Sales Summary form, then the quote number will default the correct quote number, otherwise enter the desired quote number. A quote verification screen appears outlining details on the job/quote. Select ‘Ok’ to copy line items and detail. That’s all there is to it.
- Access Material Requisitions for Jobs. In both the Call Center and the Job Form, where you used to be able to access Purchase Orders for the Job, you can now also access requisitions for the Job. Select ‘New’ or select from any of the existing requisitions or purchase orders for the job.
- Copy parts items from your quote, directly onto your material requisition. When pulling parts from inventory for a job, if you did a quote and listed out all the detail on that quote, you do not need to enter all those parts again. Just right-click on your requisition and select “Copy Quote”. Again, if your job has been created from the Job/Sales Summary form, then the quote number will default the correct quote number, otherwise enter the desired quote number. A quote verification screen appears outlining details on the job/quote. Select ‘Ok’ to copy line items and detail. That’s all there is to it.
- In order to reduce data entry and simplify processing, the Material Requisition behavior has been modified in two ways:
- As lines are entered, the pulled quantity is automatically default to equal the requested quantity. When the entire quantity cannot be pulled, only the items that differ will require modification.
- When you print the requisition, the pulled quantity will not print if the requisition is not currently posted. This allows it to be used as a pick ticket, the user can record the actual quantity pulled on the form. Once the requisition has been printed, the pulled quantities will be included on the printed report.
- Purchase the balance of a requisition. If you don’t have all the parts in inventory, enter the quantities you have into the ‘pulled’ column. Then, right-click on your requisition and select “Purchase Balance”. This will create a purchase order for the job with the balance (requested quantity – pulled quantity) of the parts you do not have in inventory.
· Credit Card Register Accounts
- It is no longer necessary, or advisable, to use a bank account for tracking payments made by credit card. A new credit card account type has been created for this purpose. A credit card register will carry its balance as a liability, not an asset.
- Several new security settings have been added for allowing/disallowing access to the various types of register accounts.

· Income Statement Report - Added the ability to generate an income statement based on any user-entered date range - i.e. the report is no longer restricted to fiscal period boundaries.
· Priority Level (1, 2, 3, 4, 5)—You can now assign a priority level to calls in the Job Form. The level can be from 1 to 5. The default level is 5 and this is considered to be the lowest priority. A priority of 1 is considered a high priority. The priority level will be displayed as a number in a circle within the call center (horizontal and vertical views).
· The on-line help manual has been completely rewritten. Press F1 at any time to get help for the particular screen you are on.
· Maps—If you have Microsoft MapPoint® installed on your workstation, you may notice new mapping features on your popup menu. To learn more, click here.
· The Customer PO Number can now be modified on individual customer invoices.
- Added a right-click option to the A/R Invoice to "Edit Customer PO". This field is the Customer PO number that will be printed on the invoice. The default value for this field comes from the Job. When the Job’s Customer PO is changed, any unposted invoices for the job, where the PO number matches the original job PO, will be updated to the new job PO value. This enhancement allows for a different PO number to be entered on each invoice, if necessary. Note that there will be no default value for the PO number on project invoices, because these invoices are not associated with a particular job as projects have more than one job.
· Added a new Lot ID field that is searchable in the Customer Search form.
· The location address2 field is now searchable in the Customer Search form and in Call Taking.
· Added the ability to configure whether Parts, Labor, and/or Miscellaneous detail should print on the invoice when printing a Detail invoice. These configuration options have been added to the Location Details and the A/R Invoice forms. When Detail is selected, use the checkboxes for Parts, Labor, and Misc to identify which detail should or should not print. In addition, Company Setup now has the invoice print configuration parameters so that each company may set up their own default values for new Locations.

QuickBooks only retains duration precision to 5 decimals on the employee's weekly time sheet for time entries. This precision does not allow the entry of one minute. This was causing the commission total to be off by pennies on certain occasions. The export has been modified to change the precision on one minute to match Quickbooks so that commission totals will calculate properly. |
