What’s New in 1.7.500.31

·      Converted Agreements—Added a configuration for allowing an activation date for converted agreements that is other than the original A/R to G/L activation date. This can be useful if you acquire another company's agreements and need to enter the agreements while recording previously completed billing and visit activity that occurred in the other company, but is after your A/R to G/L activation date.  The configuration form can be accessed from the 21 Menu Button | Company Setup | Module Configuration | Agreements, or from the Agreement Manager as long as you have the user ability for company setup.

·      Vendor Part ImportAn option has been added that allows updating part standard costs based on the Vendor Price when updating the pricebook during a vendor part import.

·      Bank Account Check Export— In the Account Register, individual bank register accounts can be enabled for exporting of checks to text file.  This option can be used to export a list of checks that can be submitted to your bank for use in helping to eliminate check fraud, if your bank offers such a program.  Click here for more information.

·      Driving directions in the SuccessWare21 Http Server (SWAPI) - Third party applications (SWRemote, Vettro, etc.) may request point-to-point directions from the SuccessWare21 SWHttp Server (SWAPI).  For ASP users, SWAPI uses Microsoft's MapPoint Web Service for obtaining driving directions.  LAN users have the option to configure SWAPI to use either the MapPoint Web Service or an installed copy of MapPoint software on their server. ·      Barcode Labels— Successware now supports a more robust option when you want to print bar coded item labels.  You can now print based upon quantities in stock or quantities received.  Plus, you can now print on printers designed for label printing.  Click here for more information.

·      Backdrop and toolbar color— For those with multiple companies running under one installation, the SuccessWare21 backdrop will show in a different, predetermined color for each company making it easier to identify the currently selected company.  Plus, the toolbar panel showing company name and username will also draw in the same color as the backdrop.  The colors are predetermined by SuccessWare21 and cannot be changed.

What’s New in 1.7.500.14

·      SuccessWare21 User ForumThese forums provide a central location for users to discuss the various features of Successware as well as request new features.  To access the new forums, click the "21" button on the toolbar to get the Main Menu and select the "SuccessWare21 User Forum" link.

-    Forum RegistrationWhen you first visit the forum, you will need to register with a unique username and password.  This is not the same username and password that you use to log in to Successware.  When you register for a forum account, an activation email will be sent to the email address you provide.  This email will include a link to verify your email.  Once you have clicked that link, your account will be reviewed by a Forum Moderator, who will activate your account.  Once your account has been activated, you can post freely to the discussion areas.

-    Forum HelpAt the top of the forums is a navigation bar. One of the links on this bar is called "FAQ". Click this link to find general instructions no how to use the Forum Software.

·      Job Cost Analysis Report— The Job Cost Analysis reports allows you to display cost, sale and margin information based upon posted, job-related transactions.  The report gathers cost and sale information directly from source documents, and not from any cost detail imported or entered onto A/R invoices.  The report can be displayed with a number of levels and depths of detail and can be used to focus on jobs that are finished as well as those that are still in progress.  Click here for more information.

·      Continued Leads— ‘continue’ a lead and relate a second sales job back to the original lead or sales job.  In this way, the second job will not be counted when calculating your ‘total leads’ in reports.  Click here for more information.

The VendorQuery command can now be submitted with an optional VendorName parameter to assist searching for a vendor.

A recent change to the account type for miscellaneous income accounts was not applied to the chart of accounts conversion utility.  As a result, the utility was reporting an account type mismatch when mapping the miscellaneous income accounts.

Call Progress

After uncompleting a call in order to make changes to times, and assignments are still all complete, you will now be prompted "Is Call Complete?" when saving changes so that it will no longer be necessary to remember to re-open Call Progress and "Complete Call".

After completing an assignment, in addition to being able to make changes to that assignment before saving which was a change in a recent update), you will also now be able to add additional assignment(s) without being required to save the first change and re-open Call Progress.

Job Form

Added a check to prevent the job class from being changed from, a regular job class to a sales job class, if there are any Purchase Orders or Vendor Invoices attached, since sales jobs are not allowed to have PO's or vendor invoices.

Purchase Order

It was possible to cancel a PO that has an unposted receipt, then post the receipt.  This would result in a canceled PO with items received which is not allowed.  Now when canceling, the system will check for attached receipts/vendor invoices and prevent canceling until the attached receipt/vendor invoice is first canceled/deleted.

The sales summary is now disabled by default if the job is completed, closed or finalized.  Once the sales job in finalized, sales summary can no longer be edited.

Inventory Returns

If an item was deactivated and an attempt was made to return the item to inventory from a job, it was possible that the return would have been created with a different item number if there were similarities between the two item numbers.  For example, if the inactive item was 112B90 and another item was 112B90C, a return for 112B90 would have resulted in a return for 112B90C instead.

Some budget items were incorrectly translated into a debit or credit amount based upon the account type and whether a positive or negative value was entered for the budget amount. As a result, budget values may have been showing incorrectly on the Income Statement Report.  If this inconsistency is detected, the utility will automatically pop up whenever running the Income Statement Report or opening Budget Setup.

When trying to open a new or existing Purchase order, Requisition, Return, or Vendor Invoice from a job, the menu would appear and hang in midair.  If it only had one or two items on it, it would be easy to overlook.  This menu has been converted to a submenu to reduce confusion.

A/R Invoice Detail, Cost Plus, Cost Detail

On the A/R Invoice Detail form, the part, labor, and misc buttons to control the detail grid view, all had checkboxes which when checked indicated there was detail in for that item type.  Checking the box had no affect and did not select the button.  This  was misleading and confusing for some users so the checkboxes have been removed.  Now, the checkboxes have been removed and the image changes when there is detail for that item type and the selected button will remain depressed.

Agreement - Convert/Commit

When attempting to commit a 'no charge' agreement, the user would receive a message and the agreement would not allow committing.  This was because deferral detail is expected to be created, but for 'no charge' agreements, no deferral entries were made.  This has been changed so that $0 deferral entries are made and the agreement will now commit.

Agreement

Sometimes the next billing date for periodic billing agreements would calculate incorrectly.  For example, if you bill on the 31st of one month and the next month to bill does not have 31 days, the system would ignore the month selection and just increment to the next month.  When billing monthly this was not a problem since every month gets billed anyway, but could have caused extra billings when billing on some other interval.

Job, A/R Invoice - "Visits" select list

Modified the Visits select list in the Job form to show visits that are attached to the current job after the visit has been invoiced.

Removing visits from a job was not notifying other open forms (Agreement, etc.) about the change.

An unnecessary change motification was being sent to other forms when canceling out of the select list without making any selections

The select list was not properly preventing the selection of visits on uncommitted converted agreements.

On the A/R Invoice, the "J" image (visit is attached to the same job) was not drawing in the select list.

It was possible to select a visit that was already attached to another unposted invoice for the same location which would reassign the visit to the new invoice, but leave the line item on the other invoice.  Now the vist must first be removed from the other invoice.

Agreements

Miscellaneous enhancements / fixes for converted agreements primarily in order to better accommodate company acquisitions and entry of converted agreements that are after the A/R to G/L activation date.

-The system now allows visit transaction dates that are after the A/R to G/L activation date based upon the projected month/year of the completed visit.

-Since agreement transactions for converted agreements do not create G/L entries, warnings have been added when the sale date or any transaction date is on or after the activation date.

-When a converted agreement was terminated instead of being activated, the system was making G/L entries for the termination if there was any deferred revenue balance based upon completed billings and visits.  G/L entries are no longer created.

-Terminating a converted agreement was not removing remaining open (not completed) visits like terminating a live agreement does.

-Modification of last billing date on a converted agreement was not causing the opening balance billing transaction to be re-generated.  This should occur because the system uses the last billing date for the transaction recorded for maintenance billed to date.

-Added a confirmation dialog when terminating a converted agreement and the termination date is on or after the A/R to G/L activation date.

When Caller ID information is passed into Successware21 it can include DNIS information.  If you setup your Lead Source codes with to reference DNIS Numbers, the lead source related to the caller id DNIS will automatically populate the call taking or customer search screen (depending on your caller id setup).  Keep in mind, the DNIS entries on your Lead Source are not required.  But where you do supply DNIS number for your Lead Sources, the DNIS number must be unique from that of any other Lead Source.
