·    Reference lookups (G/L related), Item Number Search – The ability to show G/L account number in reference lookups (sale types, expense types, adjust codes, etc.) and to show expense type and the associated G/L account (or sale type and G/L account) in the item number search when purchasing (or billing) has been added.  To turn this feature on, to to Company Setup, select the Other tab, and select either or both of the 'Show G/L…' checkboxes.

·    Employee Setup

-    Qualifications and Special Skills: Job Classes, Types, and Skills specified for employees, are now setup a little differently.  A button on the Employee Setup form will open the Employee Qualifications and Special Skills form  which will allow you to select classes, types and skills like before, but without the limitation previously imposed by the comma delimited representation of 255 characters.

Many of these feature were actually added in 1.6.200.x.  We’ve included these features again here, to make sure you don’t miss them:

·    Grid Reports—the standard grid report has been modified.  This affects all grids that contained the right-click ‘report’ or ‘print’ option. In addition to choosing columns, you can now add sorting and grouping to grid reports.  The following modification have also been made:

-    Payables Manager: Grid reporting has been added to the recurring template view and recurring invoice grid.

-    Pay Bills: Added group/report column totals for Balance, Pay$, Discount available, Discount to take.

-    Check Register, Transaction Review: Added group/report column totals for Credits and Debits.

-    Check Register, Reconciliation: Added group/report column totals for Amount.

-    G/L Transaction Review: Added group/report column totals for debit and credit.

-    G/L Budget: Added group/report column totals for Prior Budget and Budget Amount.

·    A/R Invoices—You can now enter/edit the quantity on ‘task’ line items.  The quantity on automatically created detail (standard detail and/or detail configured on the task) will be factored by the item quantity.  Modifying the quantity on an existing ‘task’ line will behave the same as changing the item number, or changing quantity on a ‘part’, ‘labor’ or ‘as task’ line item:

-    If no modifications have been made to the detail, it will automatically be replaced.

-    If manual modifications have been made via data entry or import, the user is prompted to either replace existing detail with new quantity, or leave existing detail as is. 

·    A/R Statement Dialog—A new statement dialog form has been added to SuccessWare21®.  The statement dialog adds a choice of the type of statement to print (Open Item or Balance Forward), as well as additional options that allow flexibility in determining which customer accounts to include or exclude.  To find out more about this feature click here.

·    Call Center Images have been modified to indicated jobs with posted invoices, multiple invoices and finalized jobs.  To find out more about this feature click here.

·    Vehicle Management—A new module has been added to SuccessWare21 that will allow you to keep track of your vehicles…

-    Make, model, year, license plate, VIN

-    Daily mileage and drivers

-    Fuel consumption (mpg)

-    Maintenance plans / maintenance due

-    Service schedules and service history (maintenance and repairs)

Call Progress

Call progress was allowing you to complete a canceled call with no assignments.  This would leave the job in a state where could could not be completed and could not be canceled.  Completing and then uncoompleting calls in this state will reset them to an uncomplete state.  You will then be able to cancel the call.

Inventory Manager

Since version 1.6.300.54, some manager forms would attempt to apply a previous column sort when there had been no previous selection of a sort (grid title click).  This sometimes resulted in a 'Cannot sort by this column' message.  One place this was occurring was when searching for an item number in the Parts or Whse views of the Inventory Manager.

When posting payroll with assisted payroll tax withholding enabled, the check for invalid payroll tax codes would occasionally report invalid codes from other periods.

A/R Invoice

Importing timecard labor while still inserting a new invoice line item would cause a situation where the Technician Productivity report would show incorrect hour totals when using the By Invoice option.  The system now forces the line item to be saved prior to importing timecard labor.  This update also cleans up the bad imported labor detail so that the timecard labor can be re-imported correctly.

A/R Invoice, Counter Sale

Fractional quantities were not supported by the job tag manager for creation of inventory requisitions and returns.  For nomal A/R Invoices the requisition could be created through the inventory manager.  For counter sale invoices there was no workaround other than to not use fractional quantities.  Fractional quantities can now be handled through the job tag manager.

Since version 1.6.300.38, when posting journal entries, the system would fail when deleting out the posted entries with the error 'record was changed by another user'.  The posted entries would have to be deleted out manually.  For recurring entries the same error would occur and the system would fail to update the last posted date correctly.

Customer Form

When the most recent agreement for a customer was terminated with a future date, the Agreement indicator was showing green with the hint "coverage ends on mm/dd/yy" while the current date was prior to the termination date.  This has now been changed.  The indicator will now show yellow with the hint "terminated as of mm/dd/yy" prior to the termination date, then change to red on the termination date as usual.

Account Register

Opening balance entries for checks will now set the reference column equal to the check number consistent with what happens when live Checks re posted.

When undoing a reconciliation, if an Other Adjustment had been applied to a deposit from the reconciliation, it is cleared since it might not be applicable to deposits to be made from a re-reconciliation.  When the account is re-reconcilied, it will be necessary to re-enter the Other Adjustment if it still applies to any re-deposit.

Call Taking Review

For some companies, using review with date and username removed (all phone calls) would fail with the error 'Temporary table resource limit'.

Selecting All, Service, Concern, or Other now causes a new query to be generated rather than a filter modification in order to allow for smaller query datasets.

For flexibility, added from and thru date range.  This eliminates the need to run a query for all dates (all phone calls) when interested in anything other than just a single date, say one week or one month.

Purchase Orders, Vendor Invoice/Receipt

If any items on a PO had more than one vendor (vendor item number) assigned, attempting to create a receipt or vendor invoice from the PO would fail if an item PO had just been selected after searching be vendor item number.

Projects

When a project job (phase) is canceled, the phase still contains the original estimate values.  These estimates would still show up in certain places (Project Estimate Report), but not others (Work In Progress Report).  The phase would also be filtered out of the phase list when modifying estimate amounts, so the estimates could not be modified (cleared out).  Now the phase will show up for editing on the Estimate tab of project setup, and on all reports, with a comment indicating it is canceled.  Either before or after canceling, you will probably want to zero out all of the estimate values on the Estimate tab of project setup.

If you tried to save changes to the employee after entering either an invalid training entry (missing date or description) or salary split (missing pay item), the program would terminate after displaying the message 'A database transaction has failed...'.

On-line Help (F1)

A recent Microsoft security patch caused on-line help to stop working - a page with the message "Action canceled" would be displayed instead of the help requested.  A fix has been make that will correct the problem in most cases.  If after installing this update, help still fails to open on any particular workstation, run SuccessWare one time while logged into a Windows administrator user account and open help (F1).  Once this is done, help should then work for any user on the workstation.

Added columns to the warehouse grid to indicate whether a warehouse is primary or not, and active or not.

For consistency with other managers, and to correct some filtering issues, the “Active” filter in the Stock/Whse and Parts views of the manager have been modified.  When the filter is off all items are displayed whether active or not.  Turn the filter on to exclude inactive items and include only active items.

The recurring setup form now makes use of the monthly interval settings when determining the value for Next Due (calculated).  Previously the Next Due (calculated) would always be set to today's date for the first invoice regardless of the day of month entered.

Modified the recurring setup form to show Next Due (calculated) as changes are made to the interval settings.

If Next Due (actual) must entered manually for a new recurring template, the system will now automatically re-calculate Next Due based upon the interval settings after creating the first invoice.  Previously you would have to go into recurring setup and select the checkbox to force the system to re-calculate Next Due.

Vehicle Manager

Added Next Scheduled Date (NextSchDate) to the Maintenance View.  NextSchDate will show the next non-complete service entry for the selected vehicle/service code.

LastSvcDate will now show the last complete service entry for the vehicle/service code.  Previously it was showing the latest entry whether complete or not.

The system will no longer allow a future service entry to be flagged complete.

When scheduling the next service from the Maintenance View the DueDate is now used as a default date for the new entry.

When scheduling the next service from the Maintenance View, if there is already a non-complete service entry for the selected vehicle/service code, a confirmation dialog will display prompting whether you really want to create another service entry.

By default, inactive vendors are no longer included in the report, but an option has been added to include them when necessary.

Sometimes the incorrect customer name would print for the first customer on a new page.

Added the ability to sort/group by customer (location) name.

Call Progress

The "As Scheduled" button would create a timecard entry spanning midnight which is not currently handled properly by the system.  "As Scheduled" will no longer fill in the completed time under these circumstances.

Vehicle Manager

 

Service and Fuel entries were not being validated for conflicting mileage with other entries for the same vehicle.  Mileage on service and fuel entries must be greater then entries on earlier dates and less than entries on later dates.

The initial fuel entry for a vehicle is now omitted from the Fuel Entry Report since the miles cannot be determined.  This entry would throw off the Total Miles and MPG calculations.

The Miles value on the first fuel entry for a vehicle now shows blank since there is no previous entry from which to calculate.

Fuel entries now default to IsFullTank=True.

Initial maintenance plan entries were not showing up in the grid regardless of filters.  This occurred if the first actual server entry was not made.  The system had no way of determining the next due days/mileage.  Now, initial entries will always show up so you never miss them.

When adding a new job if you tried to create a PO or requisition, you would get an application exception 'Not a valid JobID'.  You will now get a message that it is necessary to save the new before creating a PO or requisition.
