·    Added a new default G/L account for A/R Invoice Discounts which allows the G/L account used for discounts to be different from that used for refunds (Returns & Allowances).

-    You can change the current setting by selecting the “21” Main Menu button -> Setup -> General Ledger -> 3 Default Accounts.  Select A/R Invoice Discounts from the list and select a new G/L account.  Note that if the G/L account currently assigned has a balance, you will first need to make journal entries to zero the balance in that account (i.e. move the balance to a holding account), then make another set of journal entries to restore the balance after changing the default account.

·    Timecard Status and Timecard Entries—you can now specify timecard entries as “Nonproductive”.  This allows SuccessWare21 to determine productive time ratios to billable/standard hours for the new Scorecard reports.  For details on this new feature, click here.

·    A/R Invoice—you can specify line items on the invoice as “Diagnostic” items, “AddOn” items, and “Money” items.  These features are used for calculations in the new Invoice Scorecard Report.  For details on this new feature, click here. 

·    Additional Scorecard Info—a new option is available on the A/R Invoice form for “Additional Scorecard Info”.  This allows review and modification of selected fields from the Job Summary form that are still required for Scorecard reporting based upon invoice information.  Job Summary fields used for invoice Scorecard reporting are “Agreement Opportunity” and “Lead Generated”.  To open “Addl Scorecard Info” use the popup menu by right-clicking on the A/R invoice outside of the line item grid.

·    Pricebook: Diagnostic Tasks—Tasks can be flagged as diagnostic tasks.  The value recorded for a given task will be used as the default for the invoice line item when the task is used on an invoice.

·    Job Summary Form and Report—Additions have been made to the Job Summary form to accommodate requirements of the new Scorecard reports.  For details, click here.

·    New Scorecard Reports—two new reports have been added to the Report Gallery: the Job Scorecard and the Invoice Scorecard.  These reports monitory daily and month-to-date figures related to billable/standard hour efficiency, Money job/invoice ratios, Sales lead generation and Agreement/Warranty closing ratios.  For details, click here.

·    Call Center Tech Scorecard—you can add these new figures tracked on the Scorecard reports to the Call Center’s Tech popup hint.  Just mouse over the tech’s header in the grid and see the scorecard figures.  Click the ‘Preferences’ button near the top of the Call Center to access the Technician Scorecard Options.  Only a SuccessWare21 Administrator can add figures to be viewed.  Be sure to select the Period for the calculation you wish to see displayed.

·    Management Comparison Report— Added a section for Sales Lead information, including leads run/sold, closing ratio, gross sales, average sale, and credit rejects, etc.

Call Taking

Since version 1.5.200.34, a concern or other phone call could not be posted without a name and address entered.  This is too restrictive and has been modified.  Concern and other calls do not need a name and address unless an existing location had been selected.  This still prevents name and address information from being deleted out of existing locations which was the intent of the original change in 1.5.200.34.

Since build 1.5.2.35, sometimes an unintended 'Adjustment posting canceled' or 'Payment posting canceled' would occur when closing the form.  This was not causing any problems with posted adjustments or payments.

Job

If you created a new sales job and went directly to Job Summary to create the install job, the software would not allow it.  It would display the message, 'New job currently open for this customer'.  The same error would occur when attempting to create more than one project phase job at the same time.  The software will now allow these situations, but will still only allow one job at a time to be created using the New Job button on the Customer form.

Call Taking

You could start a non-IsService phone call, enter no information, and post it.  This created a prospect record in the Location table where almost all columns are NULL.  The system now requires a minimum amount of information - name address, and phone number.

Also, you could select a location, delete out the location information - name, address, etc., and then post the phone call.  Posting would clear out all the information on the location, and billing account if it had a carbon copy account.  This can no longer occur.

Account Register

If a transaction (payment, adjustment, or transfer) was posted while a completed reconciliation period was selected rather than the current period, the running balance for the new transaction was not calculating.  Also, after posting, the account will now be automatically switched to the current statement period with the new transaction focused.

Payroll Deferred Wages

Some deferred wages (wages earned in prior periods) - for example, those entered through the Piece Rate Assistant - were not getting flagged as such, and therefore, were not properly triggering adjustments for overtime earned in the prior period (when the wages were marked RegOT).

Payroll - Commissions for Job

Commissions earned in a prior period were not getting flagged as deferred wages when a commission was entered and the default date provided was not modified.

If the employee code was changed on a commission entry, the wage entry would show up for both employees on the Deferred Wages report, and if the commission was RegOT overtime adjustments due would not be generated based the commission.

An employee code was being required once you clicked or tabbed into the employee code field.  This was unnecessary -- employee code is optional.

Logoffs prevented because a particular form could not be closed were being logged as errors.  These events are now logged as information only events.

It was rather cumbersome when it was necessary to make changes to job summary to a closed job.  Now if you have the ability to re-open jobs, you will be able to edit job summary without having to close job summary, open the job form, re-open the job, and go back to job summary.

A/R Invoice

If a counter sale invoice was posted, adjusted, and finally voided it was easy to overlook the fact that there were tags remaining for processing returns to inventory.  The software will now automatically process the returns prior to voiding the invoice.  The invoice cannot be voided until the returns are successfully completed.

General

Added a scroll bar to the message dialog window that displays in various parts of the software when a list of warnings or errors is displayed.  When more that 6 or 7 warnings or errors were listed, some would be hidden.  Without the scroll bar it was necessary to stretch the form, or click in the message box and use the arrow key, in order to see the remaining messages.  This message dialog is used frequently in the inventory module.

Inventory Warehouse Tag Manager

Occasionally a tag from a counter sale invoice would get created and not resolved, generally if the counter sale invoice was not posted.  These show up in the tag manager without a job number or warehouse number.  Now there is a message below the grid identifying the counter sale invoice number that generated the tag.

Payroll Setup

When set up for using in-house payroll and adding new deductions and expenses, a warning message would display every time a new entry was inserted.  The message was only supposed to display when attempting de-select IsEmployerManaged.

Call Center, Tech Hint Options

When navigating from day to day, only the "show figure" selected to replace the techs scheduled hours in the grid will be queried.  This increases call center performance when several figures have been selected for display in the hint.

When only the "show figure" is queried, the hint will only show that single figure, but includes the text to "click for add'l info...".  Clicking will force all figures to be queried (for all employees) and displayed in the hint.  These figures will be cleared when the day is switched or at the next Tech Hint Refresh Interval.

Canceling a call or job will now automatically detach visits that had been attached to the call.  Previously this had to be done with an extra manual step.

Agreement

An agreement visit was scheduled (assigned to a job/call), and then the agreement was unactivated and modified causing the visits to be rebuilt, the relationship between the visit and the job/call was being severed without the job's knowledge.  The Call Center would still display the visit indicator (little 'v') even though the visit was no longer attached.  Now before the agreement can be edited, the visit must be detached from the job/call using the Visits button on the job form.

Cash Receipts

 

If the cash receipt form was opened from the Billing Account History form, and the cash receipt posting process was canceling during the manual allocation stage of the process by clicking the Billing Account History form's exit (X) button instead of the Undo button, the G/L transactions for the cash receipt were not being canceled, and would post to the database with the next cash receipt that was posted, resulting in G/L being out of balance with the receivables module.

In the Payroll Manager, Reset All Rates would not reset the employee's standard rate for the period.  This will now allow correction of overtime rate calculations in the case where an employee's standard rate was changed after the period was created.

Payroll Reconciliation

When reconciling with a payroll service, if a disbursement amount was typed in without pressing ENTER or TAB to cause the disbursement to save and the Reconcile tab was selected, the calculation would not include the disbursement amount and would be incorrect until something caused the modified disbursement to save.
