· Payroll overtime calculations:
- Premium rates were previously always calculated based on the employee's regular rate which was an average over the period for all RegOT wage entries. With this update, payroll can now be configured to calculate premium rates (including OT) based on the employee’s standard pay rate from employee setup. The regular rate will, however, still be used whenever the standard pay rate is less than the calculated regular rate. The user will be warned of such cases when preparing and posting periods.
- To change the configuration for premium calculations, select the appropriate option on the ‘4 NTC’s and Premiums’ page of Payroll Setup.
· Streamlined the interface between Customer Search and Call Taking:
- The 'Take a call (selected)' and 'Take a call (new)' options have been merged into a single option ('Take a call') which will prompt you to use the selected customer or open call taking for a new customer.
- From Customer Search the hot key shortcut for F12 will now ask you to open a call in call taking for the selected customer or a new customer. Previously it would always open for a new customer.
- The 'Take a call' button can be configured in General Setup to either open the 'Call Taking' form, or use the 'call on line' version of customer search. Previously, this button would only access the 'call on line' version of customer search.
· Negative Wage Entries in Payroll: You can make negative wage entries within SuccessWare Payroll. The rules are:
- Deductions before taxes can be made on the SuccessWare side. These entries can include commissions with a negative base or miscellaneous hourly entries with negative hours.
- When exporting periods for Quickbooks, the total hours for a day per pay item cannot be equal or less than zero. This means that negative hourly entries can only be made if an employee has already accumulated more that the number of hours you wish to deduct for that payitem. This only applies when exporting to Quickbooks. Quickbooks does not allow negative hourly entries on the employees weekly timesheet.
- Deductions after taxes cannot be made on the SuccessWare side. These entries must be made within your external system or service and put into SuccessWare via the Period Reconciliation.
· Map codes - Added a Map Code field to the location information.
- The Map Code is entered in the Location Details form, or in Call Taking.
- Map Code is displayed in the Call Info panel at the bottom of the screen in the Call Center, and in the Calls grid on the right hand side of the Call Center.
- Map Code also shows on the printed Work Order and in the Calls and Assignments reports in the Job/Call Reports report group.
· Lead Notes on Sales Jobs
- Lead Notes are now unlimited in length. They were previously limited to 255 characters.
- Access to Lead Notes is now available through the Notes popup form. When the Notes popup form is opened for a Sales Job, Lead Notes is the initial notes page displayed.
- Job Instructions are no longer updated when entering a new sales job in Call Taking. Job Instructions are no longer necessary on a Sales Job, since Lead Notes are available in the Notes popup form. Job Instructions will still print on the Sales Call Sheets, if they are entered.
· Notice the link at the top right of this page to “Concept Guides”. Follow this link to access extended documentation that presents the “Big Picture” for the SuccessWare®21 Pricebook, Inventory, and Agreements.
· Pending Payables reconciliation
- Added an option for pending payables balance reconciliation in the Payables Manager.
- Added a new report showing pending payable amounts for receipts and vendor invoices (valued part items). This report can be used for comparison with the G/L Transaction report for the default Pending Payables account. Go to Report Gallery > Accounts Payable > A/P Pending Payable Transactions.
· Archived history - You can now Add, Edit, and optionally, Delete service history that is entered into an archived file. These records do not affect open receivables or job reports, however, they can be viewed in the Customer History form and viewed/printed by the Location History Report.
· The Vendor List report now has the Print to File option enabled. This can be used, for example, to generate mailing labels through an external word processing program, such as MS-Word.
· Financial budget - SuccessWare®21 now includes a module for entering budget information for the purpose of generating income statements comparing actual figures to budget.
