·   A/R invoice line item entry - allow entry of any item type (except Overhead).  Part, labor, and miscellaneous entries allow a quantity greater than one (1).  Flatrate task, Part-as-task, and Miscellaneous-as-task still are limited to a quantity of one.

·   Sales tax calculations

Important: After the update is installed, your sales tax may no longer calculate correctly.  Before posting any invoices, use the Reference Library to review your tax codes and make sure these settings are correct (particularly the PartsTaxable, LaborTaxable, and MiscTaxable flags).  When entering invoices double-check the tax calculations (including flat-rate tasks with sales tax included) for correct results.

·    New item search form - Items codes can be located by item no, description, category, group, or item type.  It is no longer necessary to locate and select the item group first.  The new search is used wherever an item number must be entered, including the purchase order, vendor invoice, A/R invoice, task detail, and inventory transactions.

Note: Unlike the old item search form, which immediately displayed all of your item groups when it popped up, the new item search form will pop up empty.  The search begins only after you type in your search criteria. 

·   Email paging – allows you to send pages to your technicians through your Internet Service Provider.

·   Pricebook

·   It is no longer necessary to use the ‘Control Panel | ODBC Data Sources (32-bit)’ to compact your databases.  In SuccessWare 21®, go to the Main Menu, select Setup, then Utilities, then Compact Databases.  You should compact your databases at least once a month – more if you notice SuccessWare 21® getting slower.

Prevent reversing a payment that had been included as an item in another payment.  This maintains the integrity of the other payment and its check stub.  In addition, the reversal would cause the other payment to end up with a positive balance, which the system would not allow to be allocated to other credits.

Timecard Entry

When you first open Modify Timecard, the data entry fields at the top of the screen were blank, instead of being pre-filled with information from the first entry for the day.  If you did not press INSERT before making a new entry, when you tried to save your entry, you would get 'Error: could not update assignment', then 'Error updating links'.  The data entry fields are now pre-filled, and it is apparent that INSERT must be used for a new entry.

When detail for an item includes timecard related entries, no manual entries can be added (only timecard import).

Job / A/R Invoice

Added job department to the job form.  The field has always been there and was set based on the job type, but could not be changed.

 

Added department and salesPerson to the invoice form.  Both fields default from the job.  The department is modifiable, but the salesperson is not.  If the sales person is not correct, it must be modified through the job form (or agreement for agreement billings that are not job related).

 

When the department, salesperson, billing account, or payment information is changed on the job, any open invoices for the job are updated with the new information.  If any of this information had been changed on an invoice, the user is prompted whether all invoices should be modified, or just invoices matching the job's original values.

When making journal entries, it was possible to enter an amount with more than 2 decimal places.  It would redisplay with only 2 decimal places, but when you tried to post, you would get 'Debits do not equal credits', even though the amounts looked ok.

You can modify the post date for G/L Starting Balance entries as long as the date is prior to the G/L Activation Date.  You are also allowed to post separate sets of opening balance entries on varying dates before finalizing.  This allows entering balances for each month of the current year.
