Managing a customer’s preference for receiving unsolicited product or service information is increasingly becoming a necessity in business. While the responsibility to gather this information rests upon you, SuccessWare21 can help you store, manage and report on it. In addition SuccessWare21 will use this information as a filter before sending unwanted messages to your customers. Communication Preferences (opting in and out) are included in the carbon copy synchronization between a location and its carbon copy billing account. To make use of this feature you must:
A customer’s opt in (or out) preferences can be recorded separately on each service location and billing account. In the lower left-hand corner of the screen you will see a Communication Preferences icon, simply click on it to open that location’s (or account) preferences. From this form, in the Opt-Out column, check each communication class that this customer does not want to receive messages for. For classes that require customer’s to opt in, check those that this customer has opted in to.
IMPORTANT: SuccessWare21 is not capable of capturing this information for you; you must access every account and update it manually. For this reason we recommend that you use the appropriate marketing strategy for each communication class.
Marketing Lists are not emailed directly from within SuccessWare21 but there is a mechanism available for pruning a list based on your customer’s preferences. You can instruct the application to prune an existing list of all customers who have either opted out of a class, or have not opted in when using the Opt In option. The ‘Marketing’ and ‘Survey’ classes are only used for pruning marketing lists
Once you have created a Marketing List open it up from the Marketing Center and click the Edit button. Select the communication class that you would like to use as the basis for pruning the list. Right-click and choose Prune List, select Opt-In/Out Rules and then click OK. All customers who have opted out of the class you selected will be removed from the list. If the class requires that customers opt in, then those who haven’t will be removed as well.
Any user who can view a service location (or a billing account) can modify customer preferences in SuccessWare21.
