What’s New in 1.9.100.18

·         Account RegisterAdded transaction filtering options available during cash box reconciliation.  New filters for “CC” and “FNDS” will filter for credit card and funds transfer transactions. The “CC TYPES” filter allows selection from any currently active “CreditCard” Payment Methods.

What’s New in 1.9.100.17

·         Ready to Post change– Options have been added to Company Setup to control whether the system automatically sets ‘Ready to Post’ when the job is closed for invoices or requisitions submitted from the field via SWRemote.  These options is turned off by default.  If the majority of your invoices or requisitions from the field can be posted without modification, you may want to turn either or both of these options back on.

·         A/R Aging and Open Receivables Reports – A new option has been added to the reports for an optional grouping by department.  If the option is selected there will be a departmental grouping of the customers with totals based upon department on the posted invoices.  Note that payments, deposits, and adjustments do not have a department association so those items that will appear in a department group identified as “<none>".

·         Google Maps – you can now see your service locations and the locations of your technician’s current assignments on google maps.  For more information click here.

 

·         ‘Ready to Post’ – Invoices, Receipts and Inventory documents can be marked as ‘Ready to Post’. This means all the data has been entered and the document is just that, ‘Ready to Post’.  This feature can be useful when using SWRemote or another field app.  Documents submitted from the field marked as ‘Ready to Post’ can be posted in batch.  This feature also allows for the separation of the duties of entering and posting invoices. ·         Document State Indicators - In the upper right hand corner of several SuccessWare®21 documents there is an indicator that is used to display the posting status of the document.  Click here for more information.

 

·         ADP Payroll Export - The ADP integration has been enhanced to assist ADP in tracking employee holiday time.

o    ADP export users must setup a special pay item for tracking holiday time. This pay item must be, or start with the text: “HOLIDAY”. Examples of valid special pay items: HOLIDAY, HOLIDAY1.

o    In the export file holiday time will be identified with an Hours 4 Code of “HT”, the holiday hours will be reported in the Hours 4 Amount column.

·         ADP Payroll Export with state and local tax codes - A new ADP export called “ADP Payroll Service 2007 (U.S.) (with state and local tax codes)” is available.  This format allows for breakdown of wages by state and/or local payroll tax code where work was performed.  This export format has two columns in addition to what is in the standard ADP Payroll Service export:

o    Temp State Code

o    Temp Worked Local (optional)

·         Wage Source Report - A new feature has been added to the Wage Source Report to assist in multi-state reporting.  You can now choose whether or not to include the state where work was performed in the breakdown of wages.

o    The State will show the state for the job location where the work was performed.

o    If there was no job linked to the payroll record then Payroll State Code from Employee Setup will be used.  If there is no Payroll State Code for the employee, the state from Company Setup will be used.

 

·         Workstation Configurations (LAN only) – SuccessWare®21 will now automatically attempt to set certain workstation configuration settings.  The program may request elevated privileges on the workstation when doing so.  Settings included:

o    BDE MaxFileHandles set to 256

o    Registry entries to allow SuccessWare®21 help file content to be successfully opened from a network drive.

Job Notifications (background service)

Fixed an error being raised sending manual notifications for reminders causing the service to shutdown.  The error was occurring because the Job Notification setup value "Send reminders approximately X hours before scheduled appointment" was not entered for the job class.  If a job class was previously enabled with no value specified the system will now assume a 2 hour value instead of raising an error message.

Job Notification Settings

Fixed group label on the left-side to properly recognize the enabled or disabled status of the checkbox for the selected Job Class on the right-side grid.

Added label to explain that the check-boxes per each notification type only pertain to enabling automatic prompting.

The option "Send reminders approximately X hours before scheduled appointment" was re-labeled "Send automatic reminders X hours before scheduled appointment" as this only applies to sending reminders automatically.  (not to be confused with automatic prompting)

The option "Send automatic reminders X hours before scheduled appointment" is required when Job Classes are enabled or modified for notification.  If no value was previously entered it will default to 2 hours when first enabling the job class.  If no value had been provided previously the system will assume a default of 2 hours.

Job Notification Prompt

When prompted automatically the reminder has an option available to "Send Now" if the reminder is the only option checked and the current time is not past the scheduled appointment.

When sending reminders manually, the option "Send X hours before scheduled appointment" will be available if the reminder is the only option checked and the current time is not past the scheduled appointment.

When booked or rescheduled is combined with reminder, the options for reminder "Send Now" or reminder "Send X hours before scheduled appointment" will be set automatically.

A/R Aging Report, Open Receivables Report, A/P Aging Report, Open Payables Report

When running the reports by Post Date in an attempt to match up to balances on the balance sheet, sometimes the balances would not match when the accounts were really in balance.  This was occurring when the alternate posting date feature has been used and any of the items that were posted into a later period were allocated to an item posted into the prior period.

The AP Aging Report when run for Due Date between two dates was incorrectly showing some items with balances that did not have balances as of the end date of the report.  This was occurring for items with due date within the date range of the report, but had been invoiced and paid prior to the From Date of the report.

AR Invoice / Inventory Requisition

When the technician completes the job in SWRemote, invoices and requisitions were being automatically flagged as Ready To Post by the system.  This will no longer occur by default since many companies must modify and correct a majority of the invoices before posting.  For those companies that are able to use the feature effectively, it may be turned back on in Company Setup on the Invoice/Stmt/AcctReg tab of the form.

Agreement Manager

Since release 191x, some companies were not able to batch post periodic invoices from the Agreement Manager.  This would occur when the database is XCharge enabled, but agreement periodic invoices are not XCharge enabled (no XC aliases).  The error that would display was "The credit card for this invoice was NOT processed via XCharge".  The messages will still be reported but only as an informational comment.

When viewing an employee on the map who is on a call that includes additional techs: A plus with the number of additional techs in parenthesis will be displayed on the map label.  In addition the techs map icon will show a blue plus symbol.

When on the "All Employees", "Employee", or "Call" views, the popup map information window will include a list of techs on the call if available.

When reconciling a cash box account (undeposited funds) a comment field is now available.  The comment shows in the drop down list when reviewing prior statement periods.  This can be useful when cash is reconciled separately from credit cards or if different types of credit cards are reconciled separately.  The comment can help identify the correct reconciliation just be viewing the list.
