·    Added a new default G/L account for A/R Invoice Discounts which allows the G/L account used for discounts to be different from that used for refunds (Returns & Allowances).

-    You can change the current setting by selecting the “21” Main Menu button -> Setup -> General Ledger -> 3 Default Accounts.  Select A/R Invoice Discounts from the list and select a new G/L account.  Note that if the G/L account currently assigned has a balance, you will first need to make journal entries to zero the balance in that account (i.e. move the balance to a holding account), then make another set of journal entries to restore the balance after changing the default account.

·    Important payroll change

-    Piece rate and commission wages that are marked IsRegOT will now be included in the employee's total regular wages when calculating the employee's regular rate to determine the employee's overtime rate for the period.  This may be required for piece rate wages and certain types of commissions according to federal wage and hour regulations.  If you have piece rate and/or commission wages that you do not want to include in regular wages, you will need to check those pay items in the Reference Library (or Payroll Setup) and unmark IsRegOT, if IsRegOT is currently selected.  SuccessWare has attempted to contact all companies activated for payroll with additional information via FAX.  If you did not get the FAX or need more information, please call SuccessWare support.

·    Management Comparison Report: Added a section for Sales Lead information, including leads run/sold, closing ratio, gross sales, average sale, credit rejects, etc.

DESCRIPTION

RELEASE 1.4.3.25 7/8/04

7/8/2004

Payroll Setup

When set up for using in-house payroll and adding new deductions and expenses, a warning message would display every time a new entry was inserted.  The message was only supposed to display when attempting de-select IsEmployerManaged.

7/7/2004

Agreement

When visits were scheduled in back-to-back months, in some cases (i.e. when the number of visits per year was between two and five), visits were not getting created for the second of the back-to-back months.

RELEASE 1.4.3.24 7/2/04

7/2/2004

A/R Invoice / General Ledger

Added a default G/L account for A/R Invoice Discounts which allows the G/L account used for discounts to be different from that used for refunds (Returns & Allowances).

7/1/2004

Cash Receipts

Since version 1.4.3.22 (1.5.200.10), attempting to post a cash receipt using the 'Auto with adjustment' option would fail with the message 'Last update was not properly applied to the database'.

RELEASE 1.4.3.23 6/30/04

6/30/2004

Reference Library

The Serial Numbers reference book has been removed from the Reference Library since it is not a book designed for code setup and was not showing useful information anyway.

6/30/2004

Warehouse Tag Manager

Editing or deleting warehouse tags was getting significantly slower as the number of tags increased.

6/29/2004

Income Statement

The Multi-departmental version of the income statement was always reporting zero for TOTAL OTHER INCOME & EXPENSE for the individual departments.  NET PROFIT values were still correct however.

6/29/2004

Job/Agreement

Canceling a call or job will now automatically detach visits that had been attached to the call.  Previously this had to be done with an extra manual step.

6/29/2004

Agreement

An agreement visit was scheduled (assigned to a job/call), and then the agreement was unactivated and modified causing the visits to be rebuilt, the relationship between the visit and the job/call was being severed without the job's knowledge.  The Call Center would still display the visit indicator (little 'v') even though the visit was no longer attached.  Now before the agreement can be edited, the visit must be detached from the job/call using the Visits button on the job form.

6/29/2004

Agreement Deferral Analysis report

Sorting/Grouping on Salesperson was not working.

6/28/2004

Call Center - MapPoint (Canada)

When using MapPoint (Map Call or Map Employee), addresses were always being search against the United States address database, therefore the feature was not working for Canadian companies.

RELEASE 1.4.3.22 6/25/04

6/25/2004

Payroll Manager

Under rare circumstances, a certain combination of split percentages for a salaried employee could result in a 'Floating point division by zero' when preparing the employee.

6/23/2004

Cash Receipts

If the cash receipt form was opened from the Billing Account History form, and the cash receipt posting process was canceling during the manual allocation stage of the process by clicking the Billing Account History form's exit (X) button instead of the Undo button, the G/L transactions for the cash receipt were not being canceled, and would post to the database with the next cash receipt that was posted, resulting in G/L being out of balance with the receivables module.

6/22/2004

Sales Tracking Report

Added City, State, and Zip to the printed output (when Show Customer Info is selected).

6/21/2004

Task Form

Part/Labor/Misc detail on the task was not allowing fractional quantities between 0 and 0.5 - error message was 'Quantity must be greater than zero'.

RELEASE 1.4.3.21 6/17/04

6/16/2004

Sales Invoice Items Report

The part sale, misc sale, and labor sale was not taking into account quantity.

6/16/2004

Call Center

Occasionally it was possible for all calls to stop displaying.  Selecting a date from the calendar or call calendar would correct the display issue.

6/14/2004

Work in Progress Report

Was possible to leave Inventory Requistions or Returns out of the total actual cost figure if they occured ealier or later than any other transactions (Timecard, Receipts, A/P Invoices, Misc Wages).

6/11/2004

Cash Receipts

Added a message to the event log to indicate when the cash receipt process is canceled at the manual allocation step of the process.

RELEASE 1.4.3.19 6/4/04

6/3/2004

Compact Databases

(MS Access only) Compact Databases would not run.  It would either fail with no error message, or generate an application event log error (Dr Watson - exception c0000025).

RELEASE 1.4.3.18 5/27/04

5/27/2004

Inventory Manager

Corrected a problem that would sometimes cause the Inventory Manager to take a long time to load for companies that have been using the inventory module for a long time.

5/24/2004

Payroll, QBLink:

When running multiple companies, QBLink was not displaying the correct Successware company when connecting to Quickbooks.  The connection was correct and QBLink was working properly, it was just the label display that was incorrect.

5/24/2004

Payroll

In the Payroll Manager, Reset All Rates would not reset the employee's standard rate for the period.  This will now allow correction of overtime rate calculations in the case where an employee's standard rate was changed after the period was created.

RELEASE 1.4.3.17 5/24/04

5/24/2004

API, SWHttpServer :

If you had the same Job Type recorded for multiple Job Classes, the Pay Item on timecard entries was using the first job type record to find related pay item.  This only applies if you had pay items recorded for specific job types.

If you had non-numeric department codes, timecard punching was returning the error 'Invalid value for field "duration"'.

All Job progress functions were marking 'ScheduledBy' = 'api'.  This will now only occur if the api actually changes the scheduled date or time.

5/21/2004

Payroll Reconciliation

When reconciling with a payroll service, if a disbursement amount was typed in without pressing ENTER or TAB to cause the disbursement to save and the Reconcile tab was selected, the calculation would not include the disbursement amount and would be incorrect until something caused the modified disbursement to save.

G/L Setup

Removed some unused default account settings.

RELEASE 1.4.3.15 5/5/04

5/4/2004

Purchase Order

The purchase order was requiring a warehouse number or job number for counted items even when inventory was not yet activated for counting.  There was no reason for this unless inventory is activated for counting.

5/4/2004

Account Register - Register Item Review

When editing a check number in Register Item Review, the system was not allowing a check number to be entered that had been used in a different register account.

4/27/2004

Management Comparison report

Added a section for Sales Lead information, including leads run/sold, closing ratio, gross sales, average sale, credit rejects, etc.

4/27/2004

The following reports were not printing future entries when the end date for the report was left blank: Sales Invoices, Sales Invoice Items, A/P Transactions, A/P Invoice List, and A/P 1099.

4/27/2004

Check Alignment

The form width and height are now displayed with 2 decimals of precision so that they will correctly reflect possible settings made in setup of printers.

4/22/2004

Payroll

Piece rate and commission wages that are marked IsRegOT will now be included in the employee's total regular wages when calculating the employee's regular rate to determine the employee's overtime rate for the period.

4/22/2004

Call Taking

If identical job type codes were set up for various job classes, the duration on calls created from Call Taking might have been incorrect.

Call Taking was not taking the job class into account when looking up the job type for this information.

4/21/2004

Equipment List and Equipment Comparison reports

A query was being opened unnecessarily under certain circumstances which would have caused the report to take a little longer to run.

4/20/2004

Equipment Comparison report

The report was ignoring the selected sort fields.

4/20/2004

Equipment List and Equipment Comparison reports

Reversed the order of the Equip Type and Manufacturer columns to match the order in other screens and reports.

4/20/2004

Management Comparison report

The column headings were printing on top of the report title on page two and greater.

4/19/2004

Piece rate and commission pay items were showing up in the report even though they are not pricebook items.

4/16/2004

Pricebook

4/16/2004

4/15/2004

Project Manager

Added location address and lot ID to the project manager grid.

4/15/2004

Inventory Transfers

Tag updates were not completing when serialized items were being transferred between warehouses.  Serial tag problems would be reported until Check Serialized Tags was run.

4/14/2004

Vendor Invoice

The system will not allow an applied payment to be entered on an invoice that is greater than the invoice total since this causes problems in accounts payable.  But this could get circumvented by modifying the invoice total after entering the applied payment.  The check for a payment greater than the invoice total is now made when attempting to post the invoice.

4/14/2004

Accounts Payable

Taking a discount when making a partial payment on an invoice would cause problems when attempting to pay balance of the invoice later on.  The invoice would end up with a negative balance for the amount of the discount originally taken, and the last item selected for payment on the subsequent payment would end up unallocated to the payment.

4/12/2004

Payroll, Import/Export Filters

If the path to SuccessWare21 contained a period, the import filters would not load properly.  You could modify and save them, but when you reopened them, they reverted to original settings.

4/12/2004

Pricebook

When the pricing formula is set up to use the profit margin matrix, and the matrix is empty, price recalculation is prevented in order to avoid an inappropriate part sale calculation.

4/12/2004

Added a calculation for average call time in the group subtotals and report totals sections of the report.

RELEASE 1.4.3.12 4/12/04

4/9/2004

Comm Center (paging)

The Visit Price (Amount to Collect) is now formatted as a currency value in the message sent to the tech.

4/9/2004

A/P Item Distribution report

If you selected Variance Report and selected Variance Only, if you then unselected Variance Report, the Variance Only option would go away, but was still selected which would limit the report output even though the option had been disabled and removed.

4/9/2004

Printed Work Order

Cleaned up the equipment section to be more space efficient.  The Warranty information now prints next to the related equipment instead of on a separate line below the equipment.

If there were other calls for the job, the Other Job Related Calls section was printing on top of the Equipment section.

Added some missing column labels.

4/7/2004

Payroll, QBLink, QuickBooks Import:

When importing commissions as hourly items, multiple entries were being created for the same commission pay item if multiple commissions were paid using the same pay item.  The export is supposed to consolidate the commission to a single entry for one minute.  This has been corrected.

QuickBooks only retains duration precision to 5 decimals on the employee's weekly time sheet for time entries.  This precision does not allow the entry of one minute.  This was causing the commission total to be off by pennies on certain occasions.  The export has been modified to change the precision on one minute to match Quickbooks so that commission totals will calculate properly.

4/6/2004

Pricebook report

Added options for printing the Standard2 format book using information from price levels.  The three columns can be filled by using price levels 1, 2, and 3, or by using price levels 1 and 2 with a difference between the two in the third column.

4/6/2004

Service Location List

The option for locations with Expired Agreements was including those whose agreement was terminated.  There is now a separate option for those with Terminated Agreements.

4/6/2004

Printed Work Order

Long Job Class names were getting truncated at about 8 characters.

4/5/2004

The quantity and amount columns might have been truncated when large values were present.

RELEASE 1.4.3.11 4/1/04

When SuccessWare would attempt to send an email notification (version update, register SuccessWare21, etc.) an error would occur such as ‘SWAutomationF, property DesignSize not found’.

4/1/2004

Payroll Misc Wage Manager

Sometimes would allow an entry without a department.

RELEASE 1.4.3.10 3/31/04

3/31/2004

Pricebook

Part items created from the Vendor Part Import would not calculate As Task prices - Our Price and Retail Price because the labor allotment was empty (NULL).  Labor Allotted is now set to zero so that an initial price calculation can be performed.

3/31/2004

Billing Customer

The City field in the Billing Customer Alternate Address was only 15 instead of 20 characters.  Therefore, some characters could have been lost from the City when swapping the addresses.

3/31/2004

General

Correct inconsistencies in the size of Contact fields throughout the software.  Upo to 40 characters can now be entered into all Contact fields.

3/31/2004

The sort/group by Primary Tech, added in 1.4.2.38, was not working correctly.

The report had an option to run for sales jobs, but gave no useful information for sales jobs.  The option has been removed.

3/30/2004

Payroll Wage Source Report

When running the report for a range of periods, the report included irrelevant information specific to a single period within the report range.  This information is now hidden when running for multiple periods.

3/29/2004

Billing Customer List Report

Added a Date Range filter for selecting accounts added within a particular time period.

Added the count of billing customers printed to the group subtotals and report totals sections.

3/29/2004

Equipment

Hid the unused fields for claims and reimpbursements when a manufacturer's warranty record is selected.  These fields are intended for future use.

3/29/2004

A/P Item Distribution Report

When including Expanded Detail, the second line of the heading was overlapping the first heading line.

3/29/2004

Printed Work Order

Rearranged the report slightly to make room for the entire Eq Type description for the call.

3/26/2004

Payroll Setup

The Labor Burden page was showing a bogus average LBM calculation.

3/26/2004

Agreement

Added the equipment System field to the list of covered equipment in the Agreement form.

3/26/2004

Equipment Popup Menu

Added the equipment System field to the popup menus and checklist forms in the Agreement, Job, and A/R Invoice.  Also re-ordered the columns for consistency with the field order in the Equipment form.

RELEASE 1.4.3.09 3/26/04

3/25/2004

Utilities

(MS Access only) Occasionally the compression stage of SW Compact would get "stuck" and stop compressing the backup files for subsequent compacts.

3/25/2004

QBLink

There was still a problem with the payroll import for QuickBooks® Canada.  Employee update was still giving 1000 error.

RELEASE 1.4.3.08 3/25/04

Rearranged so that the customer first name, last name, and title do not print on top of each other.

Added Bill To name and address

Added Zone and Map Code

3/24/2004

Call Taking

Posting a call for a new sales job would fail with the message 'Post phone call failed' if Eq Type was entered and the value entered was longer than 25 characters.  Data entry in Call Taking allows 50 characters - all 50 characters are now transferred over to the job sales summary.

3/24/2004

A/P Vendor List report

When exporting the vendor list to a text file, each vendor was printing on two lines in the text file.  This has been consolidated into a single line for ease of use when importing into Excel.

3/24/2004

Inventory

Due to a couple of bugs that have since been corrected, material requisitions may have posted which had items with an incorrect total value.  When opening the Inventory Manager, a utility will run that will detect requisitions with this problem.  The utility will guide you through either re-posting these requisitions, or making item value corrections, if necessary.

3/24/2004

User Abilities - Payroll

Added separate user abilities for allowing access to commission rates and/or hourly rates when in the Miscellaneous Wage Manager.

3/19/2004

Payroll Export / QBLink

Now works with QuickBooks Canada.  However, Quickbooks Canada has confirmed a bug in the API used to communicate with Quickbooks.  Employee updates will succeed and report a "1000 internal error".  This error is ignored as the updates appear to work effectively.

QBLink does not recognize subaccounted accounts in QuickBooks.  QBLink will automatically recreate a top level account with each import, if it cannot find top level accounts.

You can now skip a period for import.  In the past, users have re-exported by accident and there was no way around re-importing the period.  Now you can right-click in QBLink and skip the current period.  This 'skip' will not be saved until you actually process an import.

3/18/2004

Management Comparison report

Modified Jobs Taken and Jobs Completed sections to properly exclude sales jobs.  Modified Job BackLog Counts to indicate that sales jobs are included.

Changed some of the terminology for consistency between the report interface and the report, and for consistency with the rest of SuccessWare21.

3/11/2004

Opportunities report

The report was not including prospects (locations without a billing account).  (Note that while investigating this issue it was discovered that marketing lists generated from reports do not currently include prospects.  This should be addressed in a future build.)

RELEASE 1.4.3.07 3/10/04

3/10/2004

Project Work in Progress report

Since version 1.4.2.36, the report would fail with 'Timeout error' if it took more that about 1 1/2 minutes to run.

3/9/2004

Company Setup

Increased the size of the company name field in Company Setup from 35 to 65 characters.

A/P Transactions report

Fixed caption Receivable Type Options - changed to Payable Type Options.

3/5/2004

Agreement Manager / User Setup

Added separate user ability for controlling access to the batch agreement termination option.  This ability is for single use only and is only enabled for the first login session after it is turned on by an administrator.  In other words the ability must be turned on again if and when the utility is required again at a later time.

3/3/2004

Project

Fixed the window title on the project open balance billing entry form.

RELEASE 1.4.3.06 3/3/04

3/3/2004

Job from Sales Job

When creating a job from a sales job, the Lead Source and Salesperson is now copied to the new job.

3/3/2004

Agreement Manager

Added an action that will allow termination of a batch of agreements which can be accessed in the Create Date, Start Date, and End Date views by users with the user ability to terminate agreements.  This can be useful in situations where massive cleanup of old or incorrectly entered agreements is necessary.

Beefed up security - there were several actions that were not checking the appropriate user abilities.

3/3/2004

Agreement

Added an event log entry whenever an agreement is terminated.

3/3/2004

Added options for selecting whether a customer has agreements, expired agreements or no agreements.

3/2/2004

Location Form

When entering a new location, the auto search for company name was not working properly - it was searching for last name instead of company name.

2/26/2004

Material Requisitions

When using the Copy Quote feature, items were not getting created in the same order as on the quote.

2/26/2004

Sometimes when Net Sales for the report was zero, the report would fail with 'Invalid floating point operation'.

2/25/2004

2/25/2004

Timecard

If identical job type codes were set up for two different job classes, the timecard was not making the distinction between the job classes and assigning the pay item assigned to the first of the job types to timecard entries for jobs of both classes.
