· Area Code Change utility: A utility has been added that will allow a mass change to be made to all phone numbers in SuccessWare21® when there is an area code change. You can find the utility by opening the “21” Main Menu / Setup / Utilities / Administrative Utilities. Note that the utility will change ALL occurrences of the area code. If your service area crosses the boundary of the area code change, you will need to decide whether it will be more efficient to change phone numbers manually, or use the utility to change all numbers, and then change back the phone numbers where the area code should not have changed.
· Assisted Local Payroll Tax Withholding: SuccessWare21® can now help you to manage payroll tax withholding for multiple local tax authorities. This feature will be useful for companies in the State of Ohio where multiple local taxes are imposed. For detailed instructions on using this new feature, click here.
· Modified Pricebook task price calculations:
- When calculating task prices and using the Margin Matrix, the matrix is now applied to each detail item on the task, then totaled, rather than applying the matrix to the total item cost. Use of the Margin Matrix is configured on the ‘3 Parts’ and/or the ‘4 Miscellaneous’ pages of Pricing Setup – either in default pricing setup, or the task category’s custom pricing setup.
- Added an option to task pricing that allows prices to be rounded up to the next even dollar amount. This will apply to the discount price, retail price, and all price levels. The option is configured on the ‘2 Tasks’ page of Pricing Setup – either in default pricing setup, or the task category’s custom pricing setup.
· Payroll overtime calculations:
- Premium rates were previously always calculated based on the employee's regular rate which was an average over the period for all RegOT wage entries. With this update, payroll can now be configured to calculate premium rates (including OT) based on the employee’s standard pay rate from employee setup. The regular rate will, however, still be used whenever the standard pay rate is less than the calculated regular rate. The user will be warned of such cases when preparing and posting periods.
- To change the configuration for premium calculations, select the appropriate option on the ‘4 NTC’s and Premiums’ page of Payroll Setup.
· New report
- Added a new report based on invoice item cost detail. The report can includes parts, labor, and miscellaneous cost items, but is particularly useful for determining parts usage by employee or item number as long as invoice cost is being entered. This report is in the Report Gallery in the A/R Invoice Reports section.
· Enhanced utilities for finding and merging possible duplicate locations and billing accounts
- Added ‘Find and Merge Locations’ and ‘Find and Merge Billing Accounts’ to the Utilities menu. These utilities display possible duplicate locations and billing accounts for inspection and possible merge. Duplicate accounts may have been created in the past because of user failure to locate an existing customer account during call taking or customer search. There was also a data conversion problem that made it likely duplicate customers were being created during the call taking process and a bug in the merge process that sometimes left multiple carbon copies for the same location or billing account. · Streamlined the interface between Customer Search and Call Taking:
- The 'Take a call (selected)' and 'Take a call (new)' options have been merged into a single option ('Take a call') which will prompt you to use the selected customer or open call taking for a new customer.
- The hot key shortcut for F12 will now ask you to open a call in call taking for the selected customer or a new customer. Previously it would always open for a new customer.
- The 'Take a call' button can be configured in General Setup to either open the 'Call Taking' form, or use the 'call on line' version of customer search. Previously, this button would only access the 'call on line' version of customer search.
· Project Estimate now compares estimated to actual figures and allows detail reporting. The Project Estimate report will list the estimated hours, cost, and sales for a project grouped by expense type. You can optionally add grouping by item type (parts, labor, misc) and also by phase. A new feature has been added to compare estimated figures to actual figures for projects in process. If you choose to compare figures, you can also list the associated detail with the actual cost and sales figures.
· Negative Wage Entries in Payroll: You can make negative wage entries within SuccessWare Payroll. The rules are:
- Deductions before taxes can be made on the SuccessWare side. These entries can include commissions with a negative base or miscellaneous hourly entries with negative hours.
- When exporting periods for Quickbooks, the total hours for a day per pay item cannot be equal or less than zero. This means that negative hourly entries can only be made if an employee has already accumulated more that the number of hours you wish to deduct for that payitem. This only applies when exporting to Quickbooks. Quickbooks does not allow negative hourly entries on the employees weekly timesheet.
- Deductions after taxes cannot be made on the SuccessWare side. These entries must be made within your external system or service and put into SuccessWare via the Period Reconciliation.
· Map codes - Added a Map Code field to the location information.
- The Map Code is entered in the Location Details form, or in Call Taking.
- Map Code is displayed in the Call Info panel at the bottom of the screen in the Call Center, and in the Calls grid on the right hand side of the Call Center.
- Map Code also shows on the printed Work Order and in the Calls and Assignments reports in the Job/Call Reports report group.
· Lead Notes on Sales Jobs
- Lead Notes are now unlimited in length. They were previously limited to 255 characters.
- Access to Lead Notes is now available through the Notes popup form. When the Notes popup form is opened for a Sales Job, Lead Notes is the initial notes page displayed.
- Job Instructions are no longer updated when entering a new sales job in Call Taking. Job Instructions are no longer necessary on a Sales Job, since Lead Notes are available in the Notes popup form. Job Instructions will still print on the Sales Call Sheets, if they are entered.
· Pending Payables reconciliation
- Added an option for pending payables balance reconciliation in the Payables Manager.
- Added a new report showing pending payable amounts for receipts and vendor invoices (valued part items). This report can be used for comparison with the G/L Transaction report for the default Pending Payables account. Go to Report Gallery > Accounts Payable > A/P Pending Payable Transactions.
· Notice the link at the top right of this page to “Concept Guides”. Follow this link to access extended documentation that presents the “Big Picture” for the SuccessWare®21 Pricebook, Inventory, and Agreements.
· The Vendor List report now has the Print to File option enabled. This can be used, for example, to generate mailing labels through an external word processing program, such as MS-Word.
· Project Management and Job Costing—You can now create projects within SuccessWare®21 that will link jobs together as phases. Projects consist of one or more phases (or jobs). With projects you can prepare project estimates, record change-orders and more.
· Withhold and Bill Retainage for both A/P and A/R Invoicing.
· Agreements
- Added an option in Company Setup that allows specific days of the month to be specified for periodic billings. When the Start Billing Date or Next Billing Date is entered for an agreement, the entry is validated as being on one on the valid billing days.
- Added the ability to print invoices for periodic billings in the Agreement Manager.
- Added a filter to the Agreement Manager when viewing periodic invoices for Paid/Unpaid invoices. This filter can be used in combination with the ‘Post All’ and ‘Print All’ actions, for example, to print unpaid invoices only, or post paid invoices only, etc.
· Invoice and Quote Status Indicators—Minor changes have been to the way the Invoice and Quote status indicator is displayed on the A/R Invoice/Quote form.

When setting up employees, the information panel now informs the user that the employee code is used to identify the employee throughout the software, including the call center. When setting up employees the wage related tabs are now hidden, since QuickStart is guiding the user through employee setup for scheduling purposes. Wage information can be entered later on during the payroll activation process. |
