·    Modified Pricebook task price calculations:

-    When calculating task prices and using the Margin Matrix, the matrix is now applied to each detail item on the task, then totaled, rather than applying the matrix to the total item cost.  Use of the Margin Matrix is configured on the ‘3 Parts’ and/or the ‘4 Miscellaneous’ pages of Pricing Setup – either in default pricing setup, or the task category’s custom pricing setup.

-    Added an option to task pricing that allows prices to be rounded up to the next even dollar amount.  This will apply to the discount price, retail price, and all price levels.  The option is configured on the ‘2 Tasks’ page of Pricing Setup – either in default pricing setup, or the task category’s custom pricing setup.

·    Payroll overtime calculations:

-    Premium rates were previously always calculated based on the employee's regular rate which was an average over the period for all RegOT wage entries.  With this update, payroll can now be configured to calculate premium rates (including OT) based on the employee’s standard pay rate from employee setup.  The regular rate will, however, still be used whenever the standard pay rate is less than the calculated regular rate.  The user will be warned of such cases when preparing and posting periods.

-    To change the configuration for premium calculations, select the appropriate option on the ‘4 NTC’s and Premiums’ page of Payroll Setup.

·    Assisted Local Payroll Tax Withholding:  SuccessWare21® can now help you to manage payroll tax withholding for multiple local tax authorities.  This feature will be useful for companies in the State of Ohio where multiple local taxes are imposed.  For detailed instructions on using this new feature, click here.

What’s New in version 1.3.3.1

·    Enhanced utilities for finding and merging possible duplicate locations and billing accounts

-    Added ‘Find and Merge Locations’ and ‘Find and Merge Billing Accounts’ to the Utilities menu.  These utilities display possible duplicate locations and billing accounts for inspection and possible merge.  Duplicate accounts may have been created in the past because of user failure to locate an existing customer account during call taking or customer search.  There was also a data conversion problem that made it likely duplicate customers were being created during the call taking process and a bug in the merge process that sometimes left multiple carbon copies for the same location or billing account.  For detailed instructions on using the utility, click here.

Pay Bills

When posting vendor checks, if a vendor was locked, the program would generate other errors such as 'Field AP_VendorID not found' and 'qryPay: dataset not in edit or insert mode'.  Now the program recovers more gracefully, stays in the print queue with the un-posted check displayed, so that the user can investigate and correct the record lock situation, and return to the check queue and repost the check.

Account Register Account Setup

 

The label on the check box for 'Default Receipts Account' or

'Default Checking Account' was not changing to reflect the correct meaning of the field when the account was changed between Account Type: Bank and Cash Box.

Account Register

Occasionally a deposit would get recorded for the wrong amount (typically for $0.00), and would have to be voided and re-deposited.  This was occurring when double clicking to select the cash box reconciliation to deposit, instead of single clicking.

A/R Invoice

When importing requisitioned items to the A/R Invoice, if the part cost grid was not selected, the program would insert the items into the labor cost page as labor cost.  The tags would still be left, however, to import properly into the part cost page, and the incorrect labor entries could still be manually deleted.

Vendor Invoice

When attempting to post a vendor invoice and there was a lock preventing the posting, the program would then generate an access violation error.  The access violation error will no longer occur.

User Groups, A/R Invoice

Added user abilities for entering cost on invoices.  There are separate abilities for entering parts cost, labor cost, and miscellaneous cost.  These can be used, for example, to allow one user to enter the invoice sale and verify parts, but not be able to enter labor cost and see technician's pay rates.

Fixed the cause of an occasional 'qryCall: dataset not in edit or insert mode' error when adding or editing a job.

Customer History form

When a job was selected, the information panel in the center of the screen showed a Progress field.  This is the call progress, not the job progress, and is now labeled Call Progress.

Balance Sheet report

When automatically expanding subaccount detail, non-subaccounted accounts the Assets side of the report were showing an additional line with the account amount which should not have been there.

Account Register - Opening balance mode

When the amount on an opening balance item was edited, the running account balance was not being recalculated.

An opening balance check could not be edited.  It would always report 'Duplicate check number' unless the check number was changed to a different number.

Corrected the spelling of 'opening' in the pop up menus.

Notes form (F11)

Made Lead Notes the default page when the Notes form opens for a sales job, since Lead Notes are the primary notes that should be entered for sales jobs.

Account Register / Reconciliation Summary report

 

Expanded the Reconciliation Summary report to include the statement beginning balance, statement ending balance, outstanding item balance, and final ending balance.  It also prints the outstanding item detail as of the statement date grouped by item type (adjustment, deposit, and withdrawal).

A/R Invoice Cost

 

For labor detail, you can now enter total cost for a detail line and the hourly rate will automatically back calculate.  This is especially useful when record cost for paybase pay.  You can import timecard entries to get the correct hours, and then enter the 'PayBase' (this is displayed in the middle right of the cost form when applicable) in the 'TotalCost' column and the hourly rate is automatically calculated.

Utilities

 

ClientRx will no longer throw errors when running prior to running SuccessWare for the first time.  It will give a message informing the user that SW must be run first.

The Workstation list was still being gathered from MS Access alias (SW_Utility) when IsSQL was selected.

Occasionally the error 'Unknown alias: SW21Data' would occur when logging into SuccessWare.  When this happened the ODBC alias 'SW21_Access' would have to be manually added to the ODBC Administrator before running SuccessWare.  This should no longer happen - SuccessWare will now correct the situation during the login process.

A/R Invoice

 

Since version 1.3.2.20, it was possible to post a negative A/R invoice due to another change that allowed more flexibility in entering discounts on invoices.  Although it is intended that we will one day be able to post negative invoices, the system (General Ledger, Accounts Receivable, etc.) has not been prepared for it, and posting of negative invoices does not work currently work correctly.  The validation that the total invoice amount must be greater than zero has been put back into the program.

(Multi-Company Only) Check, Additions, and Deduction filters were stored centrally and shared by each company.  Now they are stored and controlled individually for each company.

When entering detail items on a Cost Plus invoice, the standard price of the item is now used as a default.

When a tax-included task is used on a cost plus invoice, the tax included amount is now recalculated based on the price of detail items added, modified, or deleted.

When a task is used on a cost plus invoice, standard part, labor, and misc items are created when necessary for part, labor, and misc sale amounts based on the task price breakdown.

Call Center

 

-Added a secondary sort order to the Visit Manager grid that will assure that the visits remain in the same order after a Call Center refresh.

-When a visit is dropped on the schedule on top of another call, a 'Location mismatch' message would be displayed and the operation aborted.  Now if the location ID's do not match, the user is informed of this and asked whether a new call should be created.

-The vertical view of the Call Center was not always refreshing after scheduling a visit from the Visit Manager grid.
