· Payables—You can now age payables by either Item Date or Due Date. This option can be configured in General Setup on the Payables tab for aging of payable accounts. You also have the option to override the setup when printing your A/P Aging report or your Open Payables report. Aging categories have been relabeled from "Current, Over30, Over60, Over90" to "Current, 1-30, 31-60, Over60". The figures are calculated the same, only in relation to the age date option used: item date or due date. Only the column titles have changed:
- Current: not yet past the due date (or item date if that option is used)
- 1-30: between 1 and 30 days past due date (or item date if that option is used)
- 31-60: between 31 and 60 days past due date (or item date if that option is used)
- Over60: more than 60 days past the due date (or item date if that option is used)
· Pre-G/L A/R Invoices—Invoices created before A/R was activated for G/L, can now be voided or posted in a batch action to remove them from your Invoice Manager's 'to-be-posted' view. Just right click on the manager’s grid to access the menu options.
· There is a new user ability setting to control whether a user can override flatrate task prices when entering invoices. In User Setup, select Groups. For each user group, on the Customer Service page in the A/R Invoice section, check the Price Override option if users in the group should be able to override prices, uncheck the option if they should not be able to override prices.
· G/L Reconciliation—A new feature has been added to both the Receivable and Payable Managers. You can access this new feature via the manager’s popup menu (only in account view for payables). The feature will compare G/L to the Source (receivables or payables) to make sure they balance. If they do not balance, a search will begin comparing month end balances starting with the previous month going back until the accounts are in balance. You can print this form and use the information to print transaction reports (G/L and Source) to find the direct cause of the descrepancy.
- In addition, a check is run comparing the sum of item balances to the sum of the balances on the accounts (vendor or billing customers). This ensures that your accounts are properly aged and the totals on the accounts are correct. If these figures are out of balance, you can re-age, recalculate account totals, or use the ‘fix item balance’ feature to correct the situation.
· Concern Phone Call processing - added options for collecting, editing and reporting on 'Concern' type calls and their resolutions.
· Phone call taken date / time can now be modified
- This option is primarily used for recording calls that came in after regular hours and can only be performed by users with administrative abilities.
- To modify the call taken date/time: From the Call Taking screen, press F11 to open the Phone Call Review form and adjust any filtering conditions as needed. Highlight the call to be edited, and then press Ctrl+D (popup menu item) to open the Editing panel. Enter the desired date and time (there is an option to replace the original call taker with the current user if desired) and select Post to record the changes.
· Agreement Anniversary report (Report Gallery / Agreements)
- This report lists agreement information and commissions due for agreements starting in or having an anniversary in a specified month and year.
- The Agreement Status screen has new fields for specifying commissions payable when the agreement starts, renews, or reaches its anniversary date. These fields can be entered when entering a new agreement, or can be modified for existing active agreements. To enter these fields for an active agreement: open the agreement, open the Agreement Status form, right click, and select Edit Commissions. Select Save when you are finished.
- These commission amounts can also be saved as part of your agreement templates. Once you have entered the commission amounts for a typical agreement, select Save as Template to save these amounts as part of the template for the current agreement's agreement type. These commission amounts will then be used as the default commission amounts for new agreements of that agreement type.
· New G/L default account for Agreement revenue - service.
- The service portion of agreement billings now posts to this default account. The initial value for the account is the same as the account selected for Agreement revenue – maintenance.
- The G/L account selected for Agreement revenue - service cannot be modified if there is a balance in the currently selected account. If you want to set up an Agreement revenue - service account different from Agreement revenue – maintenance:
- Post journal entries to zero out the balance in your Agreement revenue - maintenance G/L account using a ‘clearing account’ as the offset.
- In G/L Setup / Default Accounts, select the appropriate G/L account for Agreement revenue – service.
- Post journal entries to remove the balance from the ‘clearing account’ and move the appropriate balances into the Agreement revenue – maintenance and the Agreement revenue service accounts.
· Additional documentation for the Technician Productivity/Profitability Report.
· You can now modify the next billing date for an agreement in case you need to regenerate a bill for a particular date, or just want to change the day of the month that bills are generated. Open the Agreement Manager, Billings Due view. With the agreement that you want to change selected, right click, select ‘Modify next billing date’, enter the new date, and press Enter.
· New Technician Productivity/Profitability Report (Management Reports)—Productivity option best used with a selected Tech and date range. Uses hours on job but user can also input all hours worked during period. Profitability figures are best used by Job #. Shows all Sales, Costs, percentage of time on job by Tech, and percentage of profit by tech time.

repeatedly experience corrupt databases and are required to compact your
database to correct problems, try this utility. SuccessWare®21 now includes
ClientRx, a utility that will test workstations for current database drivers,
network file access and database transaction performance. This utility can be run on each workstation.
ClientRx can be accessed from the Main Menu | Setup | Utilities.

The popup menu for billing accounts now indicates the carbon copy account for the location. The popup menu for billing accounts now has a 'New account' option that clears the billing account fields and sets the AcctNo to '<new acct>'. If the default billing account for the selected location was not the carbon copy account (bill alternate account, rather than location), the billing AcctNo would be filled in on the billing information page, but the name and address would not. This would require that the billing account be reselected in order to set the name and address information. All of the default billing account information is now set up once the location is selected. |
