Credit card regulations mandate the removal of credit card information in SuccessWare®21. Use the Credit Card Removal Wizard to remove all credit card numbers from the payment reference fields within your SuccessWare®21 database. This also configures your SuccessWare®21 installation to prevent the future storage of actual credit card numbers in these fields.
Important: Be sure to run credit card removal on all databases,
including tutorial and backup reference copies.
These databases may have credit card data in them and may also be at
risk.
Access the Credit Card Removal Wizard from the SuccessWare®21 main menu. To access this wizard, a user must have permissions to both ‘Setup’ and ‘Unmasking’ of credit cards.
1) Select Setup
2) Select Company Setup
3) Select the third tab in company setup, “Module Setup”.
4) Select ‘edit’
5) Select the ‘Setup & Removal Wizard’ button.
The Credit Card Removal Wizard will walk you through the steps of configuring your Credit Card Removal Option and removing all current credit card number from the payment reference field within your SuccesswWare®21 database.

Step 1:
Check Data
o
The first step is to examine your data and
determine how many credit cards appear to be recorded within your
SuccessWare®21 database.
o
Click check and the wizard will check your data
and report the results.

Step 2:
Disable Credit Card Storage
o Select a ‘Removal Option’
§ ‘Remove and replace with mask’ – valid credit card numbers will be permanently removed, storing only the masked credit card (first four and last four digits). During data entry, any entry of a valid credit card number will be replaced with the masked text before being encrypted and stored.
§ ‘Remove completely’ – remove credit card numbers completely and do not store anything in the payment reference field for credit card payment types. During data entry, the payment reference field will be disabled and will not allow any data entry.
o Select ‘Disable’ to disable credit card number entry in SuccessWare®21 as specified by the Removal option you have chosen.
IMPORTANT
§ Once you clean your data, all credit card numbers from the payment reference field in SuccessWare®21 will be permanently removed with no option of retrieving that data.
§ Once you complete the ‘Disable’ Step, users will be prevented from storing credit card numbers in the payment reference field throughout SuccessWare®21 based on the option selected above.

Step 3:
Export Data (not recommended)
o You will have an opportunity to export to text files. You should only export your data if you require a copy of currently stored credit card numbers for payment processing purposes. If you select to export, you will be required to output two files
§ Agreements: a list of all your currently active agreements and associated credit card information. Only agreements setup to be paid by credit card will be included.
§ Billing Accounts: a list of all billing account setup and associated credit card information. Only accounts with a default credit card on file setup will be included.
o Important: If you choose to export, transfer the information in these files to a secure payment processor and delete the files as soon as possible.

Step 4:
Clean Data
o This process will remove credit card numbers from the payment reference field in the SuccessWare®21 database according to the option you select above…
§ ‘Remove and replace with mask’ – all valid credit card numbers will be permanently masked and only the masked data will be stored.
§ ‘Remove completely’ – all data recorded in the payment reference field for credit card payment types will be removed completely and nothing will be stored.
