In order to help prevent general ledger out of balance situations and avoid difficult general ledger reconciliation situations, the following changes have been made to the software.
Warning messages have been added to the software when posting adjustments or journal entries when the transaction will affect a general ledger account that must reconcile with another module in the software. This extra validation will help ensure that general ledger is kept in balance with the various source modules. While adjustments to these accounts may sometimes necessary for correcting problems, they should not be made under normal circumstances.
· Protected accounts include
o All general ledger accounts assigned to active account registers
o The following default accounts
- Accounts Payable
- Accounts Receivable
- Agreement Deferred Revenue
- Agreement Reserve
- Warranty Reserve - Installs
- Inventory
- Payables Pending
- Payroll - Accrued
· The posting forms where protected account validation has been added are
o Journal Entries
o AP Adjustment
o AR Adjustment
o CB Adjustment
o Miscellaneous Payment
o IC Adjustment
o Miscellaneous Cash Receipt
· The warning message will look something like the following
Unless the transaction is necessary to correct an out of balance situation, you should Cancel and select another adjustment code / G/L account.
· A warning is only issued if the module related to the particular default account is active for general ledger posting.
