Quote Enhancements

New Features to the Printed Quote

Four new features have been added to the printed quote.

·   Print Task Notes: You can select to print the task notes associated with task line items on the quote.  This text will come from the Pricebook task setup when the item is added to the quote.  Changes to the task item notes in the Pricebook will not affect existing line items on quotes or invoices.

·   Print Payment Options:  You can select to print a payment options section at the very end of the quote.

·   Intro Text:  You can add a paragraph of text to print at the top of the quote.

·   Closing Text:  You can add a paragraph of text to print after the ‘Quote Total’ near the end of the quote.

·   Acceptance Text:  You can add a paragraph of text to print at the end of the quote.  This text will print along with signature lines for both customer and salesperson signatures.

Quote Print Settings…

When a quote is created, the default settings are copied onto the quote.

To access the quote print settings and change these features for an individual quote, right click on the quote.  The quote must not be in edit mode.  Select “Quote print settings…”.  This will open the quote print settings dialog where you can modify these features for the individual quote.  Changes made here will not affect other quotes.  If you make changes, but decide to use the default settings, you can select “reset” to reset these features to the default quote print settings.

To change the ‘print task notes’ setting for individual quotes or invoices, check or uncheck the ‘print task notes’ checkbox in the lower left hand corner of the invoice form.  This checkbox is displayed along with the other ‘Print Format’ options (‘Totals only’, ‘Totals, no tax’, ‘Summary’, ‘Detailed’).

Default Quote Print Settings…

To change the default for these features for all future quotes,

1)       From the SuccessWare21® Main Menu, select ‘Setup | Company’.

2)       In the company setup dialog, select the ‘Invoices / Statements / Account Register’ tab.

3)       Select ‘edit’ to edit the company setup.

4)       Select the ‘quotes’ button.  This will open the ‘Default Quote Print Settings’ dialog.

5)       Here you can control how new quotes behave when they are created.

6)       Make your changes and select ‘Ok’.  This will save your Default Quote Print Settings.
