Employees and Subcontractors

Several enhancements have been added to Successware®21 to simplify the manangement of employees.  These enhancements will allow you to…

·   Manage subcontractors within the system (similar to employees)

·   Assign, schedule, and dispatch subcontractors to jobs and view in call center

·   Exclude subcontractors from payroll processing

·   Report subcontractor on-job time via modified timecard report.

 

In addition, employee management now includes these additional features:

·   Designating employees as salespeople and/or technicians will limit which employees are available for assignment to non-sales jobs and sales jobs (For more information on sales jobs see the “Lead Tracking” document).

·   Only employees set up to ‘maintain assignments’ will be available in the call center.  This allows you to eliminate office staff from your call center. 

Employee Manager

An employee manager has been added and is accessible from the main menu under “Setup” and “Payroll”.  This employee manager allows you to…

·   View a list of employees or subcontractors

·   Filter for technicians, salespeople, or other.  (other employees are those who are niether techs or sales.  This might include office staff)

·   Filter for inactive employees/subcontractors.

·   Access…

o     Employee/subcontractor setup

o     Employee/subcontractor timecards

o     Employee miscellaneous wages

Employee Setup

New fields have been added to employee setup.

Subcontractor

If this checkbox is selected, the employee is treated as a subcontractor.  Subcontractors behave the same as employees with the following exceptions:

·   Subcontractors can be associated with a vendor.

·   Subcontractors can be set up to allow timecard conflicts. 

Sales person

Only employees/subcontractors marked as ‘sales person’ can be assigned/dispatched to ‘sales’ jobs.

Technician

Only employees/subcontractors marked as ‘technician’ can be assigned/dispatched to ‘non-sales’ jobs.

NOTE: Employees/Subcontractors not marked as either ‘sales person’ or ‘technician’ are considered as ‘other’.

Allow Timecard Conflicts (subcontractors only)

If this checkbox is selected, the timecard for this subcontractor will allow conflicts.  This is useful when a subcontractor represents a company and not an individual.  A subcontractor/company may needs to be able to be dispatched to more than one job at a time.  This creates timecard conflicts that are generally not allowed.

Vendor (subcontractors only)

Subcontractors can be associated with a vendor.  This may be useful for grouping when reporting on subcontractors.

Rates Tab (subcontractors only)

Unlike employees, subcontractors will not have a wages tab.  Instead, subcontractors will have a ‘rates’ tab.  On this page, you can set up the normal hourly ‘cost rate’ for the subcontractor.  By clicking the ‘Cost Rates…’ button, you can access the ‘cost rates’ reference book for the subcontractors where you can set up different rates for specific pay items.  These rates will map into timecard entries the same as pay rates for employees.  The only difference being, subcontractor timecard entries have a pay rate of zero.  The cost rate is mapped into the timecard entries ‘cost rate’ field.  This field is utilized on the timecard report when reporting for subcontractors. 

Reference Books

The employee reference book has been split into 5 new reference books:

·   Employees—includes all employees, techs/sales/other, only employees, no access to subcontractors.

·   Technicians—includes only technicians, defaults to employees only, allows switching to a subcontractor only list. 

·   Salespeople—includes only salespeople, defaults to employees only, allows switching to a subcontractor only list. 

·   Employees/Subcontractors—inlcudes all employees, tech/sales/other, defaults to employees only, allows switching to a subcontractor only list. 

·   Technicians/Subcontractors—includes only technicians, defaults to employees only, allows switching to a subcontractor only list.

Assigning Employees/Subcontractors to Jobs

When assigning employees or subcontactors to jobs, only employees and subcontractors marked as ‘technicians’ will be available for assignment to non-sales jobs, and only employees and subcontractors marked as ‘salesperson’ will be available for assignment to sales jobs.  This will affect employees available when adding assigments via:

·   The Schedule Assistant

·   Call Progress

·   Call Taking

Timecard entry (Modify Mode)

New indicators have been added to indicate technicians, salespeople, and subcontractors.  In the scheduled and unscheduled calls grids visible at the bottom of the timecard entry form, sales calls will only be visible for salespeople, and non-sales calls for technicians.  Sales calls will be indicated with a “S” image over the zone circle.

When modifing timecard entries for subcontractors, you can edit the hourly ‘CostRate’.  This field is used for reporting subcontracted time on the timecard report and is mapped in from the subcontractors default ‘cost rate’ unless a specific cost rate has been set up for the pay item being used on the entry.

Importing Timecard Labor onto A/R Invoices

Only timecard labor from employees will be available for import as cost detail on A/R Invoice.  Subcontractor labor cannot be used as cost on invoices.  The subcontractors bill will be added as miscellaneous cost detail.  Adding the subcontractor labor would duplicate the cost.

Payroll Processing

Subcontractors are not employees and are compensated via A/P invoices.  Subcontractors will not show up in payroll period processing.  They are also excluded from the Piecerate Assistant.

Call Center

Sales calls are indicated by an “S” image.  This image is displayed on the call in both the horizontal and vertical views and in the job and call grids.  Only employees/subcontractors marked as ‘maintain assignments’ will be available for viewing in the call center.  Options have been added to the call center employee filter form for assistance in selecting/deselecting the different type of employees and subcontractors.

Reports

Employee List Report

The employee list report now contains a few new options:

·   Employees only / Subcontractors only

·   Employee Type

·   Pay Type

Timecard Report

·   Subcontractors – when selected, only subcontractors are available in the employee list.  You can select which subcontractors to include in the report the same way you choose employees.  When reporting time for subcontractors, the list is automatically sorts/groups by vendor and the cost rate is included in the report.
