A/R Invoice line item entry

A/R invoice line items now allow the entry of part, labor, and miscellaneous line items, as well as tasks, parts as task, and miscellaneous as task.  In order to enter a line item as task, use the new item search form (see below), or enter the item number and use the popup menu (or Alt-T) to make it an as task item.

Quantity must be one (1) for task items, but any quantity may be entered for part, labor, misc, part as task, and misc as task items.

When a line item is entered (or changed), the appropriate detail is automatically created (or changed).  For example, a part item creates a part detail entry for the same quantity and item number.  A part as task item creates a part detail entry, as well as a labor detail entry for the labor allotment.

A part line item can only have part detail, labor can only have labor detail, and miscellaneous can only have miscellaneous detail.

If a part (or part as task) item’s detail has been verified, the item cannot be deleted and the quantity or item number can not be changed.   It is necessary to unverify the detail, then modify or delete the item.

Important Note: any changes to the sale price for a task (or As Task) line item adjusts the miscellaneous portion of the sale.  Notice that this allows the miscellaneous sale to become negative when the price is reduced.  Changes to the sale price for parts adjust the part sale, labor the labor sale, and misc the misc sale.

Sales tax calculations

The A/R invoice has been modified to use the PartsTaxable and LaborTaxable fields, plus a new MiscTaxable field to determine sales tax due on an invoice.  When an item is flagged ‘AddTax’, the sale amount for that line item is split between taxable and non-taxable sale based on its breakdown of parts, labor, and misc, and the taxable flags on the tax code for the invoice.

Sales tax is now recalculated on flatrate, tax included sales based on the tax code’s tax rates, taxable flags, and the predefined breakdown of part, labor, and miscellaneous sale.

Important Note: The calculated sales tax for tax included items now optionally posts a separate G/L entry to the sales tax liability account, instead of including the sales tax amount in the posted sale entry.  Go to Company Setup, ‘Other’ tab, to activate this feature.

If a task priced with tax included is used on an invoice that has a capped tax code, the tax is removed from the line item sale, and the item is flagged as taxable.  This is necessary because the sales tax can no longer be calculated on a line item basis because the sum of the items may exceed the tax cap.  There is a note in the task pricing setup form that it is not recommended to include sales tax in the price when tax codes are capped.

Expanded the subtotals section of the Sales Tax report and added report totals.

Conversion note: The conversion of the current tax codes sets the MiscTaxable field to True if both PartsTaxable and LaborTaxable are True under the assumption that everything is probably taxable.

New Item search form

Unlike the old item search form, which immediately displayed all of your item groups when it popped up, the new item search form will pop up empty.  Use the following instructions to initiate the search.

Items can be located by item no, description, category, group, or item type.  The search starts with item no.  Just type in all or part of an item no – the search automatically starts approximately one second after you stop typing and finds any partial match to the search string.  The form will not search when the search string is empty. 

Note: If you want to do a “contains” search, precede your search string with a percent sign (%).  If you want to list “all items” use only a percent sign (%) for your search string.

Keystrokes:

·   ENTER selects the highlighted item.

·   UP, DOWN, PAGE UP, and PAGE DOWN can be used to move between the items in the grid.

·   TAB changes the current search field.

·   Alt+T toggles the As Task checkbox.

When As Task is checked, only part and miscellaneous items marked ‘Use as Task’, in addition to tasks, will be displayed.  If As Task is checked when you select a part or miscellaneous item, the As Task price will be used, including the labor allotment for the item selected.
